Log External Calls in Sparkforge with the Workflow Action

By Sparkforge Support Team ·Last reviewed May 3, 2026

The Log External Call workflow action posts calls from outside phone systems into your Sparkforge CRM. Pair it with the Inbound Webhook trigger so every external call shows up on the right contact's Conversations timeline, with recording attached.

If you run a third-party phone system alongside Sparkforge, the Log External Call workflow action keeps every call attached to the right contact record. Call details and recordings show up in the contact's Conversations tab, same as native Sparkforge calls.

What it covers

  • Inbound and outbound calls from any external system that can hit a webhook.
  • Direction, date, to/from numbers, call status, and recording attachment.
  • Automatic contact lookup or creation by phone number.

How to build the workflow

  1. Set up the trigger. Use the Inbound Webhook Trigger. It gives you a webhook URL your phone system calls each time a call event happens.
  2. Branch by direction. Add an If/Else branch on the direction field from the webhook to split inbound and outbound flows.
  3. Resolve the contact. Add a Create Contact action in each branch. Map the Phone field to From Number on the inbound branch and To Number on the outbound branch. Sparkforge will find the existing contact or create a new one.
  4. Log the call. Add the Log External Call action. Map Direction, Date, To, From, Call Status, and Attachment to the corresponding values from the webhook trigger using the custom-values picker.
  5. Publish. Once published, every external call posted to the webhook lands on the matching contact's Conversations timeline, recording included.

Why this matters

Centralizing call records keeps reporting accurate and lets follow-up automations fire on third-party calls the same way they fire on native ones. No more split history across systems.

Frequently Asked Questions

What triggers the Log External Call action?
Pair it with the Inbound Webhook Trigger. Your external phone system POSTs call data to the webhook URL, and the workflow logs the call on the matching contact.
How does Sparkforge match the call to a contact?
The Create Contact action runs first, mapped to the From Number for inbound calls or the To Number for outbound calls. Sparkforge looks up an existing contact by phone or creates one.
Can I attach the call recording?
Yes. Pass the recording URL in the webhook payload and map it to the Attachment field on the Log External Call action.
Do logged external calls show in the contact's Conversations tab?
Yes. They appear in the Conversations timeline alongside native calls, including the recording when provided.
