By Sparkforge Support Team ·Last reviewed May 3, 2026

Configure Sparkforge Voice AI to book across multiple calendars based on intent. This guide covers prerequisites, calendar selection logic, descriptions, keywords, and setup steps.

Sparkforge Voice AI books appointments across multiple calendars by interpreting the caller's intent. The AI evaluates the entire conversation, maps it to an eligible calendar, and honors each calendar's availability rules.

What It Does

  • Books across distinct calendars (Demo, Pricing Consult, New Patient Intake).
  • Honors availability, buffers, and conflict settings.
  • Provides graceful options when no service matches.

Benefits

  • Fewer missed opportunities — callers land on the right appointment type the first time.
  • Faster scheduling without IVR trees.
  • Higher accuracy via intent analysis on the full conversation.
  • Scales across teams, services, and locations.
  • AI-generated descriptions and trigger keywords cut setup time.
  • Configurable fallbacks deliver a clean no-match experience.

Prerequisites

  • Voice AI enabled on the sub-account.
  • Two or more configured calendars for eligible services.
  • Google or Outlook integration connected.
  • Availability configured (slot length, buffers, minimum notice).
  • Linked or conflict calendars to prevent double booking.
  • Permission to edit AI and calendar settings.

How the AI Selects a Calendar

The AI uses conversational intent and context, not isolated keywords. It can distinguish similar phrases and follows confidence/priority logic when multiple calendars could match.

Example mappings:

  • "Schedule a demo" → Demo Calendar
  • "Talk about pricing" → Sales Consultation Calendar
  • "New patient first visit" → New Patient Intake Calendar

Descriptions and Trigger Keywords

Provide calendar names and core details; the AI drafts descriptions and trigger phrases. Review and edit so wording is concise, specific, and non-overlapping across calendars.

Setup

  1. Verify calendars. Each service should have its own calendar with the correct duration, availability, buffers, and linked/conflict settings.
  2. Enable booking. Go to AI Agents > Conversation AI and click Create Bot.
  3. Pick a bot. Under Eligible Bots, choose the prompt-based bot, click Create New Bot, then install a Marketplace template.
  4. Open the agent. In Conversation AI, click the installed template and go to Bot Goals.
  5. Configure booking. Pick the calendar from the dropdown and click Proceed. Add the AI description and choose a fallback calendar.
  6. Add advanced options. Configure the remaining settings and click Save.
