How to Set Up Recurring Appointments in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

Sparkforge calendars (other than Service Calendars) support recurring appointments. Toggle on Recurring Appointments in the Availability tab, set the repeat count (max 24), and pick how to handle conflicts: Continue, Skip, or Book Next Available.

Recurring appointments save you from creating one booking at a time for clients on a regular schedule. Set them up once and Sparkforge handles weekly check-ins, monthly reviews, or daily classes for the entire series.

Create a recurring calendar

  1. Click Settings > Calendars.
  2. Click Create Calendar.
  3. Pick the calendar type. All types except Service Calendars support recurring appointments. For Round Robin, only one user or team member can be on the calendar.
  4. In the Availability tab, toggle on Recurring Appointments.
  5. Configure the recurrence pattern and how to handle conflicts.

The maximum repeat count is 24 occurrences per series.

Conflict handling: "If slots are not available"

When a slot in the recurring series collides with an existing booking, you have three options:

Continue Booking

Allows double-booking on conflict. A second dropdown lets you confirm how to handle the double-book.

Skip Booking Unavailable Slot

Books only the open slots in the series and ignores the conflicting ones.

Book Next Available Slot

Searches forward for the next open slot. Sparkforge checks up to 3 slots ahead; if none are open, that occurrence is dropped. The rest of the series continues.

Pick carefully — Continue, Skip, and Book Next produce very different client experiences.

Limitations

  • Recurring appointments only work for standard slots. Custom slots don't show the recurring option.
  • Recurring bookings can't be created from the Opportunities page. The calendar shows in the dropdown there but only books a single slot.
  • Bulk update (cancel or reschedule) isn't supported for recurring appointments.

Workflow triggers and recurring appointments

Existing appointment workflow triggers do not fire on recurring appointments by default. Sparkforge added an Event Type filter to the appointment trigger step:

  • Normal — fires only on non-recurring appointments. Existing triggers default to this.
  • Recurring — fires only on recurring appointments.
  • Any — fires on both.

To trigger automation on recurring bookings, edit your trigger and add or change the Event Type filter to Recurring or Any.

Modified By filter (replaces Customer Booked Appointment)

  • Customer — appointments booked by a contact through a public widget.
  • User — appointments booked inside Sparkforge by a team member.
  • API — appointments created through the API.

Meeting locations and sync

If the meeting location is Zoom or Google Meet, each occurrence gets its own dynamic meeting URL. Sync to integrated calendars sends each occurrence as an individual event.

Payments and recurring

Calendars with recurring appointments turned on do not currently support payments.

Frequently Asked Questions

How many occurrences can a recurring series have?
Up to 24 in a single series.
Can I take payment on a recurring appointment booking?
No. Calendar payments aren't currently available for calendars with recurring appointments enabled.
Why isn't my workflow firing on recurring appointments?
Existing appointment triggers default to Event Type: Normal, which excludes recurring. Add the Event Type filter and set it to Recurring or Any.
Do Zoom and Google Meet links repeat across the series?
No. Each occurrence gets its own dynamically generated meeting URL.
What happens if a slot in the series is already booked?
Depends on your conflict setting. Continue Booking double-books, Skip ignores the slot, Book Next Available looks up to 3 slots forward and drops the occurrence if none are open.
