How to Send Public E-Signature Document Links in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

Public Document Links let you publish a signable agreement once and share a single URL. Recipients sign with just a name and email, and signed copies land back in the Responses tab.

Public Document Links solve a common problem: you need a signature on a standard agreement, but you don’t want to manually add every signer as a contact first. Publish the document once, share the link, and collect signatures from anyone who opens it.

What You Get

  • Public document creation directly inside Documents & Contracts > Templates.
  • Shareable URL generated for every published document.
  • Response management with signed copies stored in one tab.
  • Workflow compatibility — your existing template-driven workflows are untouched.

Create a Public Document

  1. Go to Documents & Contracts > Templates.
  2. Click New Template > Publish, or pick New > Create Public Document.
  3. After publishing, copy the generated public link.

Share the Link

Drop the URL into an email, SMS, chat message, or anywhere else you communicate with prospects and clients. There’s no contact requirement on your side.

What Recipients See

  1. They open the link and enter first name, last name, and email.
  2. They sign in the browser.
  3. A signed copy is automatically emailed to them.

Manage Responses

Open the Responses section to view or download every signed copy. To stop accepting new signatures, unpublish the document — the link goes inactive immediately.

When to Use Public Links vs Workflow Documents

Use a public link when you want one-time signatures on standard agreements (waivers, NDAs, simple acknowledgments) and don’t need a CRM record. Stick with workflow-driven contracts when you need the contact tied to a pipeline, automation, or follow-up.

Frequently Asked Questions

Do my existing template-based workflows still work?
Yes. Public Document Links are an additional option — every existing template continues to function inside workflows exactly as before.
Do recipients need a Sparkforge account to sign?
No. They enter first name, last name, and email, then sign in the browser. No account required.
Where do signed documents go?
Signed copies are stored in the Responses section of the document, and a copy is automatically emailed to the signer.
Can I disable a link after sharing it?
Yes. Unpublishing the document immediately invalidates the link so no new signatures can be collected.
How many people can sign through one public link?
There’s no cap. The link accepts signatures until you unpublish the document.
