Documents and Contracts in Sparkforge: Setup and Guide

By Sparkforge Support Team ·Last reviewed May 3, 2026

Documents & Contracts lives under Payments in Sparkforge. Create from scratch, upload a PDF, or use a template — then collect e-signatures, take payment at signing, and trigger workflows on document events.

Documents & Contracts is the built-in tool under Payments for sending and tracking legally binding agreements — contracts, proposals, estimates. It supports templates, PDF uploads, e-signatures with audit trail, integrated payments, and workflow automation.

Why use it

 • One dashboard for every contract and proposal — drafts, waiting, completed, archived.
 • Reusable templates for recurring agreements like service contracts.
 • E-signatures with audit trail — signer details, IP address, and timestamp recorded on a certificate.
 • Payments inside the contract — one-time or recurring, charged at signing.
 • Workflow triggers on document created, sent, viewed, or signed events.

Dashboard

Go to Payments → Documents & Contracts from the left menu. Pick All Documents & Contracts in the dropdown to see everything.

Filters and tabs

 • Date range: filter by start and end date.
 • Tabs: Draft, Waiting for others, Completed, Payments, Archived.
 • Columns: Title, Status, Customer, Date Modified, Value.
 • Three-dot menu: View, Clone, Mark as Completed, Download PDF, Convert to Template, Share via Link, Move to Draft, Mark as Declined.

Creating a document

Click + New in the top right. Three starting points:

 • New Document: blank editor — text blocks, pricing tables, video embeds.
 • Upload Existing PDF: drop in a PDF and overlay signature/text fields. Useful when the contract was drafted by counsel.
 • Import from Template Library: pull a saved template — a cleaning company reusing its standard service agreement, for example.

Editor toolbar

Add elements

 • Text, images, videos, tables, product lists, page breaks.
 • Fillable fields: Signature, Text Field, Date, Initials, Checkbox.

After adding a fillable field, select it and use the right-side Properties panel. Use To be signed by to assign the field to the right signer — including a specific staff member in your sub-account.

Page management

Add, duplicate, or remove pages for multi-page documents.

Document variables

Insert dynamic placeholders — Created Date, Reference Number, Sub-Account Name, custom fields. Variables fill in automatically when the document is sent.

Content library

 • Reusable blocks and full pages for Documents & Contracts.
 • Save a section with Add to Content Library and name it.
 • Insert from Content Library → Custom via drag and drop.
 • Edit after inserting.

Recipients

 • Add multiple recipients.
 • Set signing order (sequential or simultaneous).
 • Assign each recipient their own fields.

Payment settings

 • One-time or recurring billing.
 • Charge on signing or send invoice automatically.
 • Live payment mode and autopay supported.

Email and send

 1. Click Send on the document.
 2. Pick an Email Template from the dropdown.
 3. Click Edit to adjust subject or body.
 4. Preview, confirm, send.

Document settings

Frequently Asked Questions

What happens if a client only partially signs?
With multiple signers assigned, the document stays in Waiting for others until everyone completes. Resend from the dashboard to nudge incomplete signers — it won't move to Completed until every required signer is done.
How secure are e-signatures and payment info?
All documents and payment data run over SSL. Each signature generates a certificate with IP address, email, and timestamp. Payment info is processed by your connected payment provider — Sparkforge does not store card or bank details.
Can I add conditional content based on the client?
Not currently. Documents are static once created. For variations, build multiple templates or use workflows to pick a template based on conditions.
If I edit a template after sending a document, does the sent document change?
No. Edits only apply to documents created from the template after the change. Already-sent documents preserve their original content.
Can I accept multiple payment methods on one document?
Yes — if you have multiple gateways (Stripe, PayPal, etc.) connected, recipients can pick at checkout.
How do expiry dates work?
Add an expiry from the document action menu. Once the date passes, the document moves to Expired and can no longer be signed — useful for time-limited proposals.
Can workflows trigger on a specific template?
Yes. Workflows can filter on Document Status and Template Name — for example, send a reminder when a specific Service Agreement template is unsigned for more than three days.
