Decline Documents in Sparkforge and Automate Follow-Up

By Sparkforge Support Team ·Last reviewed May 3, 2026

Decline Documents lets recipients and business users formally decline a document with a reason, instead of leaving it unsigned. Sparkforge tracks the decline as a status, stores the reasons, and exposes them to workflows and email templates.

An unsigned document tells you nothing. A declined document tells you why. Sparkforge now lets recipients and business users formally decline a document, capture structured reasons, and feed that data into automation and reporting.

What Decline Documents does

Decline Documents adds a formal decline action to the Documents and Contracts experience. When a document is declined, Sparkforge:

  • Records Declined as the document status.
  • Stores the selected reasons and any additional notes.
  • Exposes the decline data to workflow triggers and email templates.
  • Moves the document to Archived for later review.

Why it's useful

  • Structured feedback. Predefined reasons plus optional notes turn a lost deal into actionable insight.
  • Cleaner status tracking. Declined is separate from unsigned or pending, so reporting is clearer.
  • Workflow automation. Trigger follow-ups, task assignments, and internal alerts on decline.
  • Personalized comms. Decline reasons and notes flow into email templates as custom values.
  • Visibility into lost deals. Decline history captures who, when, and why.

Recipient decline flow

  1. Open the document you received.
  2. Click the top-right menu in the document.
  3. Select Decline Document.
  4. Choose one or more decline reasons, if available.
  5. Add notes if needed.
  6. Click Submit to complete the decline.

Once submitted, the document is marked Declined, moved to Archived, and can no longer be signed.

Business user decline flow

  1. Open the document from Documents and Contracts.
  2. Use the available decline action after the document has been sent.
  3. Confirm the decline so the status updates.

Declined documents follow the same lifecycle whether the decline came from the recipient or from your team.

Automation patterns

Lost-deal recovery sequence

Trigger on document decline. Wait one day. Send a personalized email that references the decline reason. Notify the rep on Slack or via internal task.

Reason-based segmentation

Use the captured reason to route follow-up. Pricing objections go to the rep with discount authority. Timing objections enter a long-term nurture. Wrong-fit declines feed a referral workflow.

Internal review

Notify the deal owner immediately on decline so they can review the notes and decide on a response while the conversation is still warm.

Reporting

Decline history stays in the Archived area of Documents and Contracts. Pull it for win/loss analysis, sales coaching, and offer refinement. The reason data is the most useful field — it tells you what to fix.
