Multiple Recipients on Documents & Contracts

By Sparkforge Support Team ·Last reviewed May 3, 2026

Sparkforge lets you assign signature fields to multiple recipients on one document, designate CC viewers, and include the sender as a signer. Each signer gets a unique link, and the first recipient is treated as Primary.

A single Sparkforge document or contract can route to multiple signers, each with their own fields, plus CC recipients who view but don't sign. You can also assign yourself (the sender) as a signer.

How It Works

Signers vs CC recipients

  • Signers — any recipient with at least one signature field assigned.
  • CC recipients — recipients added to the document with no signature fields. They get a copy but don't sign.
  • The sending user can also be a Signer.

Unique signing links

Each Signer receives a unique URL that takes them only to their fields. Nobody sees anyone else's signature flow.

Combined PDF and signature certificate

When all Signers complete their portion, Sparkforge produces a single signed PDF plus a signature certificate that logs IP, geographic location, and timestamp for each signer.

Primary Recipient logic

The first contact you add becomes the Primary Recipient. Custom fields pull from their contact record, and the auto-generated invoice (if enabled) goes to them.

Send to Multiple Recipients

  1. In your sub-account, go to Documents & Contracts → Create New Document (or edit a template).
  2. Add multiple contacts in the Recipients section.
  3. For each Signer, drag signature fields onto their portion of the document.
  4. Leave CC recipients with no fields assigned.
  5. Send.

Best Practices

  • Order matters. If you want a specific person on the invoice, add them first.
  • Brief CC recipients. Tell them upfront they're view-only — no action needed.
  • Audit signature fields before sending. Missing fields block completion.
  • Verify the certificate on high-stakes contracts. IPs, locations, and timestamps should match expectations.
  • Plan for stalls. If one Signer doesn't complete, the document stays Pending. Resend reminders or cancel and reassign.

Frequently Asked Questions

Can the document sender also sign?

Yes. Assign signature fields to the sending user the same way you'd assign them to any contact.

What happens if one signer never signs?

The document remains in Pending. Resend reminder emails or cancel and reassign fields as needed.

Where do the custom fields pull from when there are multiple contacts?

From the Primary Recipient — the first contact added. Order them deliberately.

Does the signature certificate capture every recipient?

Yes. Every Signer's IP, location (when available), view timestamp, and sign timestamp land on the certificate.
