Sub-Account User Roles and Permissions in Sparkforge
Inside a sub-account, go to Settings > My Staff to assign Admin or User roles, toggle module access, and limit visibility with Only Assigned Data.
Sub-account roles control what features a user can access inside a single Sparkforge location. Two roles (Admin and User) plus granular per-module toggles cover most team setups.
Why role management matters
- Data security: contacts, pipelines, and campaigns stay scoped to approved staff.
- Cleaner UI: hide modules a user doesn't need.
- Audit trail: every action is attributed to a specific user.
- Faster onboarding: clone permission sets instead of rebuilding.
Set up sub-account roles and permissions
- Go to Settings > My Staff in the sub-account.
- Click the edit pencil on a user, or + Add Employee for a new one.
- On the Roles and Permissions tab, pick a role:
- Admin: full access to all modules in the sub-account.
- User: restricted; granular permissions apply.
- Use checkboxes to grant or restrict module access (Conversations, Workflows, Calendars, Voice AI, etc.).
- Toggle Only Assigned Data to limit visibility to records owned by this user.
- Click Save.
Only Assigned Data
When ON, the user sees only:
- Contacts assigned to them.
- Opportunities they own.
- Appointments and tasks linked to their name.
Use case: scope sales reps to their own pipeline so they can't see other reps' conversations or deals.
Admin vs User
- Admin: full control over sub-account tools, settings, and data. Reserve for team leads and trusted internal staff.
- User: permissions-based access; can be locked to assigned data.
Copy permissions between users
- Settings > My Staff > edit (or add) a user.
- Open the Roles and Permissions tab.
- Click Copy Permissions in the top right.
- Pick a source user from the dropdown.
- Click Copy to apply.
Granular module permissions
Granular permissions split a module into specific actions. Example: Export data on Dashboard controls who can export widget data, useful for limiting accidental sharing of reporting.
Granular permissions are available for: AI Agents, Account Settings, Account Tools, Automation (Workflows), Blogs, Calendars, Certificates, Communities, Contacts, Conversations, Forms, Funnels, Gokollab, Integrations, Marketing, Medias, Memberships, Opportunities, Payments, QR Codes, Quizzes, Dashboard, Reputations, Surveys, User Management, and WordPress.
