Agency User Roles and Permissions in Sparkforge
From Settings > Team, edit a user's Roles and Permissions to set their type (agency or sub-account), role (admin or user), accessible sub-accounts, and module-level granular permissions.
Agency-level user management in Sparkforge gives admins precise control over which modules each user can access and which sub-accounts they can see.
Open a user's permissions
- Go to Settings > Team.
- Click the edit icon on the user.
- Click Roles & Permissions in the left menu.
Set user type and role
- User Type: agency-wide or scoped to a specific sub-account.
- Role: admin or user.
Restrict access to specific sub-accounts
Agency admins can be limited to a subset of sub-accounts. Example: an admin assigned to 78th Avenue and A Mailbox NYC cannot see Baker's Inn.
Module and granular permissions
Permissions work at two levels:
- Module: toggle the entire module off to hide it.
- Granular: use checkboxes to limit specific actions inside the module.
The new structure stays backward-compatible with prior permission sets.
What each module covers
- AI Agents: build/manage Voice and Chat AI agents, training, call logs, summaries.
- Account Settings: business info, time zone, domains, branding.
- Account Tools: imports, exports, URL redirects.
- Automation: Workflows, Triggers, run logs.
- Blogs: posts, categories, authors, settings.
- Calendars: calendars, availability, round-robin, appointment types.
- Certificates: course completion certificates.
- Communities: groups, posts, members, moderation.
- Contacts: create, edit, delete, import, export.
- Conversations: SMS, email, calls, social DMs inbox.
- Forms / Funnels / Surveys / Quizzes / QR Codes: build and publish.
- Integrations: Google, Facebook, Ads, Email, Phone connections.
- Marketing: email/SMS campaigns, Social Planner, templates.
- Medias: media library.
- Memberships: courses, lessons, offers, learners.
- Opportunities: pipelines, stages, deals.
- Orders / Payments / Payment Settings / Products / Subscriptions / Taxes / Transactions: commerce stack.
- Reputations: reviews and listings.
- Dashboard: analytics widgets.
- WordPress: plugin and site sync.
- Launchpad / Gokollab: onboarding and creative collaboration.
Sub-account settings (granular)
Delegate sub-account admin work without exposing sensitive areas:
- Sub-Accounts List Page: who can view and manage sub-accounts.
- Manage Client Page: client-level config access.
- Sub-Account Billing: billing actions at the sub-account level.
- Sub-Account Company Settings: high-impact company config.
If a user hits a restricted area, Sparkforge shows a contextual message explaining the limit.
Stop a user from creating new sub-accounts
- Agency view → Settings > Team.
- Open the user → Roles & Permissions.
- Find Sub-Accounts under the Agency module.
- Uncheck Create Sub-Accounts (and Delete if needed).
- To hide the module entirely, toggle Sub-Accounts = Off.
Login As control
User Management → Login As controls whether an admin can impersonate another user. Default: enabled. When disabled, the Login As option is hidden for that admin. Path: Agency Settings → Team → Edit user → Roles & Permissions → User Management.
Copy permissions
Clone an existing user's permission set onto another user. Example: when a new sales rep joins, copy a peer's permissions instead of rebuilding.
Adding clients
Don't add clients as agency-level users. Add them inside their specific sub-account so they don't see other locations.
- Open the client's sub-account.
- Go to Settings > My Staff.
- Click + Add Employee in the top right.
- Enter name, email, and role (User in most cases).
- Set module permissions and granular toggles.
- Enable Only Assigned Data to limit visibility to records assigned to them.
- Save.
