Use Opportunity Custom Values in Document Templates

By Sparkforge Support Team ·Last reviewed May 3, 2026

Drop Opportunity merge fields into Sparkforge document and contract templates so deal data populates automatically. Trigger sends from pipeline stage changes.

Document and contract templates in Sparkforge can pull Opportunity Custom Values through merge fields. Build the template once, then let workflows fill in deal-specific data when sending.

Templates vs. individual documents

This applies to Templates, not one-off documents. Open Payments > Documents & Contracts and select Templates. The URL bar should include the word templates to confirm you are editing a template.

Add Opportunity merge fields to a template

  1. Go to Payments > Documents & Contracts > Templates > New template.
  2. Drag a text box or table where you want the value to populate.
  3. Type the merge field directly (example: {{opportunity.xyz}}) or open the merge fields menu.
  4. In the menu, go to Contact > Custom fields > Opportunity Details and pick the dynamic field.
  5. Confirm the merge field is in the right spot, then save. The placeholder is replaced with live data when the workflow runs.

Send the template from a workflow

  1. Go to Automation > Workflows and create or edit a workflow.
  2. Add the Send Documents & Contracts action.
  3. Choose your template and pick whether to send or save as draft.

Auto-send by pipeline stage

To send a template when an opportunity hits a specific stage:

  1. Create a workflow in Automation > Workflows.
  2. Add a trigger: Pipeline Stage Changed or Opportunity Status Changed. Filter by the right pipeline, stage, or opportunity.
  3. Add the action: Send Documents & Contracts, pointing at your template. Merge fields will pull in the opportunity's custom values before the document goes out. Save the workflow.

Frequently Asked Questions

Where do I confirm I am editing a Template, not a document?
Look for the word "templates" in the URL bar. The page title should also say Templates and the Templates tab should be active.
What does an Opportunity merge field look like?
It uses double-brace syntax like {{opportunity.xyz}}. You can type it directly in a text box or insert it from the merge fields menu under Contact > Custom fields > Opportunity Details.
Which pipeline triggers work well for auto-sending documents?
Pipeline Stage Changed and Opportunity Status Changed are the two reliable starting points. Filter by the specific pipeline and stage you care about.
When are merge fields actually filled in?
At the moment the workflow runs the Send Documents & Contracts action. The template is rendered with the opportunity's current data right before send.
Can I use this for one-off documents too?
You'd build the merge fields into a Template, then send that Template through a workflow. Direct one-off documents do not pull Opportunity Custom Values the same way.
