How to Use Document Expiration in Sparkforge Documents

By Sparkforge Support Team ·Last reviewed May 3, 2026

Document Expiration in Sparkforge sets a deadline on documents sent for signature. Once the deadline passes, the document is marked Expired and recipients can no longer sign or fill it out, with optional 1-day reminder emails available.

Document Expiration lets you set a deadline on any document sent for signature. Once the deadline hits, the document is marked Expired and recipients can no longer sign or complete forms inside it.

What it does

Document Expiration introduces time-bound control on contracts, onboarding documents, and compliance forms. The countdown starts when the document is sent and uses the location's timezone for consistency.

  • Forces signatures within a valid window
  • Stops outdated or obsolete documents from being signed
  • Auto-marks expired documents in the dashboard
  • Shows recipients an on-document expiry notice
  • Optional reminder emails 1 day before expiry

How to enable Document Expiration

Set defaults at the location level, then override per-document where needed.

  1. Go to Payments > Documents > Settings > Documents
  2. Open Document Settings in the left menu
  3. Scroll to Expiration Settings and toggle the feature on
  4. Enter the default number of days until expiration (this can be overridden on individual documents)
  5. (Optional) Enable a 1-day reminder email to recipients

What happens when a document expires

  • Status changes to Expired in the document list
  • Recipients trying to open the document see an "expired" notice
  • All signature fields and inputs are disabled, preserving document integrity
  • Senders can resend the document or contact the recipient directly

Reminder email customization

If reminders are on, you can configure:

  • Subject line
  • Email body
  • Branding and sender identification

Reminders can be enabled globally or per document, depending on the use case.

Notes

  • The expiry date is fixed once a document is sent. To change it, send a new document.
  • Expiration uses the sender location's timezone, not the recipient's.
  • Reminders are off by default — turn them on globally or per document.

Frequently Asked Questions

Can I change the expiry date after sending the document?
No. Once a document is sent the expiry date is locked. To extend the deadline, create and send a new document.
Are reminder emails on by default?
No. Reminders are off until you enable them — either at the global Document Settings level or per individual document.
What happens to a document after it expires?
It is marked Expired in the dashboard and remains accessible for reference, but recipients can no longer sign or edit it.
Are recipients notified the moment a document expires?
Recipients see an "expired" message if they try to open the document after the deadline. There is no automatic post-expiry notification email unless you build one in workflows.
Can I turn Document Expiration off later?
Yes. You can return to Expiration Settings and toggle the feature off at any time.
Whose timezone does the deadline use?
The sender location's timezone, not the recipient's. This keeps deadlines consistent across all your contacts.
