How to Set Up Gmail Two-Way Email Sync in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

Gmail two-way sync ties a user's Gmail to a Sparkforge sub-account so outbound and inbound emails stay aligned in both places. Set it up from the sub-account's My Profile > Email (2-way Sync) section. Gmail caps individual sends at ~500/day and attachments at 25 MB.

Gmail two-way sync connects a user's Gmail to a Sparkforge sub-account so emails sent or received in either place show up in the other. It runs at the user level inside a sub-account.

What two-way sync handles

  • Inbound and outbound emails between existing contacts and Sparkforge
  • Auto-creating contacts and conversations from Gmail traffic
  • Real-time bidirectional synchronization

Setup must happen at the sub-account level

You can't configure Gmail sync from the agency dashboard. Either log in to the sub-account directly or use Login As from the agency view. The Gmail connection is scoped to the sub-account where you set it up.

Connect Gmail

  1. From the sub-account, click Settings.
  2. Open the My Profile tab.
  3. Scroll to Email (2-way Sync).
  4. Select Gmail and click Connect.
  5. Pick a Gmail account or sign in to a new one.
  6. Approve the Sparkforge permission request, then click Allow.

The connected Gmail account now appears under the Email Two-Way Sync section.

How sync starts

  • Outbound from Sparkforge: email a contact from the CRM and the thread starts syncing.
  • Inbound to Gmail: when a saved CRM contact emails the user's Gmail, that email lands in the Sparkforge conversations tab.

Emails from contacts who are also sub-account users do not sync — those often contain internal information.

Limits and caveats

  • Gmail caps individual sends at roughly 500 per day. Bulk emails go through Sparkforge's sender, not Gmail.
  • Attachment size limit is 25 MB.
  • If a user has the same Gmail synced across multiple sub-accounts, the contact instance is retained only in the sub-account where the user replied.

Bulk emails and workflows are different

  • Individual emails: sent from Gmail when 2-way sync is on. Subject to Gmail's 500/day limit.
  • Bulk email: continues to send from the sub-account email provider. Two-way sync doesn't change this.
  • Workflows and automation: dispatched from sub-account providers, not Gmail. So you can run mass campaigns without hitting Gmail's daily cap.

Update or disconnect

  • Update Email: switch the connected Gmail without breaking the previous connection. New outbound mail uses the new address; older threads on the previous address stop syncing.
  • Disconnect Email: stops sync entirely. Existing synced emails stay; new mail won't sync.

BCC address for ad-hoc logging

Add the Sparkforge BCC address to any Gmail send to log that conversation into the CRM. Future inbound mail from that contact then syncs automatically.

Gmail may show a "Delivery incomplete" error for BCC addresses — that's because Gmail doesn't get a delivery receipt for BCC. The message still posts to the CRM.

Frequently Asked Questions

What happens to past emails from existing contacts?
Two-way sync identifies existing contacts and starts syncing new mail going forward. Past emails sent before you connected the integration cannot be backfilled.
What is Gmail's daily send limit?
Gmail caps individual sends at roughly 500 per day. Bulk and workflow emails route through Sparkforge's email provider instead, so they don't count against that cap.
What's the attachment size limit?
Two-way sync supports attachments up to 25 MB.
Will disconnecting delete my synced emails?
No. Existing synced emails stay in both Gmail and Sparkforge. Only future emails stop syncing.
What if the same contact exists in multiple sub-accounts?
Outbound emails from a sub-account stay in that sub-account. Inbound emails from the contact reflect in every sub-account where the user is connected, but the conversation thread sticks to the location where the user replies first.
