Set Up the Zoom Integration for Sparkforge Calendar Bookings

The Zoom integration generates a unique Zoom meeting link every time someone books on your calendar. Each user connects their own Zoom account to their Sparkforge profile, and links are created automatically when the calendar's meeting location is set to Zoom.

Note. Dynamic Zoom links work on Personal, Round Robin, and Collective calendars only.

What the integration does

• Generates a unique Zoom link for each new booking — no manual setup, no link reuse.
• Embeds the Zoom link directly in the calendar event and confirmation email.
• Logs every Zoom meeting against the contact in Sparkforge.
• Reflects reschedules and cancellations across both platforms in real time.

Prerequisites

• Any user can connect Zoom to their Sparkforge profile.
• Each user connects their own Zoom account — links generate against that user's Zoom for any Group Calendar they're assigned to.
• Dynamic links require a Personal, Round Robin, or Collective calendar.

Step 1: Install the Zoom integration

Go to Settings > Integrations on your Sparkforge profile and connect Zoom. Authorize the OAuth prompt to grant access. Repeat for any additional users who need their own Zoom-backed bookings.

Step 2: Set Zoom as the calendar location

Open the calendar in Calendars > Settings. Under user availability and calendar settings, set the meeting location to Zoom. From that point forward, every booking generates a fresh Zoom link automatically.

Step 3: Add the Zoom link to your reminder workflow

If you send appointment reminders, include the merge field for the meeting URL so the Zoom link makes it into the reminder email or SMS. Test by booking yourself and confirming the link arrives.

Sharing one Zoom account across users

Zoom connections in Sparkforge tie to user IDs in the backend, not email addresses. The same Zoom account can connect to multiple users and across multiple locations. Manage shared connections under Calendars > Settings > Connections > Video Conferencing.

Edge case: deleted and restored users

If a user account is deleted and later restored by Support, the restored user gets a new user ID. The old Zoom connection is bound to the old user ID, so the restored user has to reconnect Zoom from scratch. Your email address is not the unique identifier here — your user ID is.

Example

An agency "ABC Marketing" has three users: User A (ID A001, a@abcmarketing.com), User B (ID B002, b@abcmarketing.com), User C (ID C003, c@abcmarketing.com).

If User A's profile is deleted and Support restores it, User A may come back with a new user ID — say A004 — even though the email stays the same. The old Zoom connection is still tied to A001, so User A has to reconnect Zoom against the new user ID before bookings will generate links again.
