Build a Zoom Appointment Reminder Workflow
Add a 1-minute wait step at the top of the workflow so Sparkforge can populate the Zoom meeting URL before your reminder messages send. Then add reminders on time delays.
When the appointment uses a Zoom integration, the meeting URL is generated after the appointment is confirmed. If your reminder fires immediately, the Zoom location field is empty. A 1-minute wait at the start of the workflow fixes this.
Build the workflow
- Open Workflows and click Add New Workflow Trigger.
- Pick Appointment as the trigger.
- Add the filter Appointment status is Confirmed.
- Save the trigger.
- Click +, scroll to Wait, and set the delay to 1 minute. Save.
- Click + after the wait. Add an Email or SMS step with your confirmation message. Use appointment custom fields to merge in the Zoom link, time, and details. Save.
Add reminder steps
- Click + below the confirmation send.
- Add another Wait step.
- Choose Time Delay and reference Event / Appointment time.
- Set the offset (e.g., 4 days before, then switch units to days).
- Tick Skip all outbound communication actions, till next wait or Event Start Date action.
- Add an Email or SMS step with the reminder copy.
- Repeat for additional reminders (24 hours before, 1 hour before, etc.).
Why the 1-minute wait matters
Without it, the Zoom location merge field can render blank in the first send, leaving customers without a join link. The wait gives the Zoom integration time to write the meeting URL back to the appointment record.
Frequently Asked Questions
Can I make the wait shorter than 1 minute?
1 minute is the documented safe minimum. Shorter waits risk sending the email before the Zoom URL writes back, leaving customers without a join link.
Does this apply to Google Meet appointments too?
Yes. Any video integration that generates the meeting URL after confirmation benefits from the 1-minute wait.
Where do I find the Zoom location custom field?
In the Email or SMS step builder, open custom fields and look under appointment-related fields. The Zoom URL appears there once the integration is connected.
