How to Create and Send Estimates in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

Create estimates from the Payments tab, send by email or SMS, and convert approved estimates straight into invoices. Sparkforge tracks every estimate through Draft, Sent, Accepted, Declined, and Invoiced.

Estimates let you send a price proposal before issuing an invoice. The customer can accept or decline, and accepted estimates convert directly to invoices.

Open the Estimates dashboard

  1. Go to a Sub-account and select Payments.
  2. Click Invoices and Estimates, then choose Estimates.

Create an estimate

  1. Click New.
  2. Enter business info, customer info, an estimate number, and an expiry date.
  3. Add products and line items.
  4. Click Send.

Send to the client

Review the estimate and send it by email or SMS. The recipient can accept or decline directly from the link.

  • Accept: client clicks accept and the estimate is marked accepted.
  • Decline: client clicks decline, optionally adds notes, and the estimate is marked declined.
  • Mark manually: if a client confirmed by phone, mark the estimate accepted or declined yourself.

Convert to an invoice

Once approved, open the accepted estimate and click Create an Invoice, or use the dashboard shortcut. The line items, totals, and customer details carry over.

Track status

The dashboard groups estimates by stage: Draft, Sent, Accepted, Declined, Invoiced. Top cards show pipeline value, and notes from the estimate builder stay attached to each record.

Customize the look

Open settings to add branding, terms, and footer text. Templates apply to every estimate you send from that location.
