How to Import Invoices Using CSV in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

Use Sparkforge's CSV invoice import to migrate billing data from another system in one shot. Upload, map fields and tax rates, run the import, and review the summary email Sparkforge sends back.

Sparkforge's CSV invoice import lets you migrate billing data from another platform — or load historical invoices from a spreadsheet — without manual entry. You upload a CSV, map fields, match tax rates, and Sparkforge processes the batch and emails you a summary.

What CSV invoice import does

Imports invoice data from a spreadsheet or another billing system directly into Sparkforge. During import you map issue date, due date, line totals, and tax columns. Imported invoices live alongside any invoices you create in-platform.

  • Migrate from a legacy billing tool in batches.
  • Map issue date, due date, taxes, and amounts.
  • Get an automated post-import email summary with successes and failures.
  • Centralize historical and current invoices in one place.

How to import invoices via CSV

  1. Go to Payments → Invoices & Estimates.
  2. Click + New in the top right.
  3. Select Import Invoices using CSV.
  4. Download the sample CSV to see the required column structure.
  5. Prepare your CSV to match the sample format.
  6. Confirm all applicable tax rates exist under Settings → Taxes.
  7. Upload your CSV.
  8. Map each CSV column to the matching invoice field, including date fields with the correct format.
  9. Map tax-related columns to existing tax rates when prompted.
  10. Click Start Import to run the batch.
  11. Watch your inbox for the Invoice Import Summary email.

Tax mapping

Sparkforge detects tax columns and asks you to match each one to a tax rate already configured under Settings → Taxes. If a needed rate doesn't exist, create it first — the import pauses on unmapped tax fields rather than load bad data.

The import summary email

Once the batch completes, Sparkforge emails the registered address with:

  • A count of successfully imported invoices.
  • A list of failed entries and the reason each one failed.
  • A CSV attachment showing the import status of every row.

What's different about imported invoices

No automatic reminders

Imported invoices are treated as historical records. They will not trigger automated reminder emails or texts. Reminder workflows only fire on invoices created directly in Sparkforge.

Late fees and tips

Imported invoices follow your default or global late-fee and tip settings. To turn either off for a specific imported invoice, edit it after import.

Tips for a clean import

  • Keep batches at 500 rows or fewer for performance and easier error review.
  • Use a consistent date format across the file.
  • Create every tax rate referenced in the CSV before you start the import.
  • Open the failure list in the summary email and re-import only the corrected rows.

Frequently Asked Questions

Can I import invoices with multiple tax types?
Yes. Each tax type must be labeled in the CSV and already exist under Settings → Taxes so the import can map them correctly.
Will imported invoices send notifications to clients?
No. Imported invoices are historical records and do not trigger reminder or notification emails.
Can the CSV import update existing invoices?
No. The CSV import only creates new invoices. It cannot update or overwrite invoices already in Sparkforge.
What happens to rows that fail during import?
Failed rows are listed in the summary email with the reason — invalid date format, unmatched tax value, and similar issues — so you can fix and re-import them.
Is there a limit on how many invoices I can import at once?
There is no hard cap, but batches of 500 invoices or fewer perform best and are easier to triage if errors come back.
