Sparkforge Documents & Contracts can generate invoices the moment a signer completes a document, including recurring schedules with optional setup fees. Configure timing, frequency, and direct payment from the product list settings.

Sparkforge Documents & Contracts can generate invoices automatically the moment a document is signed, including full recurring schedules. The settings drawer for the product list controls timing, frequency, and whether the signer is sent straight to a payment page.

How it works

  • Automated settings drawer: Click the product list inside a template or document to open configuration.
  • Recurring type assignment: Adding a recurring product flips the line type to recurring automatically.
  • Price type tags: Visual tags mark each line as one-time or recurring.
  • Flexible scheduling: Generate invoices immediately on signing, or set a fixed schedule relative to the signing date.

Build the template

  1. Go to Payments > Documents & Contracts > Templates and click New Template.
  2. Add a Product List and a Signature element.
  3. Add a recurring product. The settings drawer opens automatically.
  4. Save the template.

One-time vs recurring lines

  • One-time products are always charged as one-time payments.
  • Recurring products with a setup fee appear as two line items: the recurring charge and the one-time setup.
  • Only recurring products are billed in subsequent invoices after the first.

Configure recurring invoice settings

Generate Invoice at Signing

On: Creates a recurring invoice schedule with the first invoice generated when the document is signed. Subsequent invoices follow the defined frequency. Sign on January 25 with a monthly schedule and the next invoice is sent on February 25.

Off: Set a specific date for the first invoice independent of the signing date.

Enable Direct Payment

On: The primary signer is redirected to the invoice page right after signing, and the invoice is also emailed.

Off: The invoice is saved as a draft for manual sending later.

Wire it into a workflow

  1. Open Workflows and create a new workflow that uses your saved template.
  2. When the workflow fires, the recipient gets the document with the attached invoice configuration.
  3. After signing, the primary signer is routed to the invoice for payment, with an email backup.
  4. Track activity from Documents or Invoices.

Frequently Asked Questions

Why was an invoice not generated even though I had a payment schedule?
This usually happens when one of the payment schedule dates falls past the invoice due date, often when the first payment is set with a Custom date. Set the first payment to Upon primary signature so the schedule aligns and the invoice can generate.
Can I bill a setup fee plus a recurring charge in one document?
Yes. A recurring product with a setup fee shows as two line items in the document: the recurring charge and the one-time setup fee.
Will subsequent invoices include one-time products?
No. Only recurring products are billed in invoices after the first. One-time products are charged once at signing.
Can the signer pay the invoice immediately after signing?
Yes. Toggle Enable Direct Payment on. The primary signer is redirected to the invoice page after signing, and the invoice is also emailed as a backup.
