How to Customize Email Templates Inside Workflow Steps
When you add a template to a Send Email workflow action, Sparkforge copies it to that step. Sync Edits OFF keeps changes local; Sync Edits ON makes changes flow both directions between the workflow email and the master template.
The Send Email action lets you drop a saved template into a workflow and tweak it for that step — different subject line, different CTA, whatever the automation needs. The trick is knowing when those edits stay local and when they overwrite your master template.
How template sync works
When you add a template to a Send Email action, Sparkforge creates a copy of it scoped to that workflow step.
- Sync Edits to Template OFF (default) — edits stay local. The original template and other workflows using it are untouched.
- Sync Edits to Template ON — bi-directional sync. Changes in the workflow email update the master, and master changes push to the workflow email.
Add a Send Email action
Step 1 — Open a workflow
Two paths get you to workflow campaigns:
- Marketing > Emails > Campaigns > Workflow campaigns
- Automation > Workflows
Step 2 — Add the action
Open an existing workflow or create a new one. Make sure your trigger and basic structure are set, then add or edit a Send Email action.
Step 3 — Choose how to compose
- Quick Compose (default) — simple editor for fast transactional notes.
- Smart Builder — Design, Code, or Plain Text editor to build from scratch.
- Select Template — pick from My Templates or the Templates Library.
Fill in From Name, From Email, CC, and BCC before editing the body so sender details apply correctly.
Step 4 — Preview and edit the template
Use the Templates dropdown to choose your template. Click the three-dot icon in the preview to Edit Design or Remove. Edit Design opens the Email Template Editor scoped to this workflow step. Decide whether to toggle Sync Edits to Template.
Step 5 — Advanced settings
- Link Tracking — clicks and CTR per link
- UTM Parameters — campaign tracking tags
- Tags on Actions — auto-tag contacts on opens or clicks
Step 6 — Save and review
Click Save Action and publish the workflow. After it runs, reopen the email action to see Statistics, View Details, or Click Performance.
Editor tools at a glance
- Title and rename — pencil icon next to the template name
- Layout toolbar — Add Elements, Manage Element, Appearance, and Saved Item icons control structure and global styles
- Element library — drag-and-drop blocks for text, images, buttons, dividers, footers, countdown timers, product grids, etc.
- View modes — toggle desktop/tablet/mobile previews
- Three-dot menu — Version History (revert to drafts) and Settings (Subject, Preview Text)
- Save vs Save as new Template — Save updates the workflow step only; Save as new Template adds a new entry to your template library
Send a test before going live
Use the Test Emails field to enter recipient addresses, then click Send Test Mail. Verify formatting, personalization tokens, and design in a real inbox before saving the action.
