How to Automate Opportunities in Sparkforge Workflows

By Sparkforge Support Team ·Last reviewed May 3, 2026

Open Automations > Workflows, pick an opportunity trigger like Opportunity Created or Pipeline Stage Changed, then add actions like Create Opportunity, Remove Opportunities, or If/Else to automate your sales process.

Manual opportunity updates eat hours every week. Workflows handle the repeatable parts — creating deals, moving stages, sending follow-ups — so your team focuses on conversations.

Step 1: Identify what to automate

List the repetitive actions in your sales process. Common candidates:

  • Sending follow-up emails after a stage change
  • Assigning new leads to reps
  • Booking appointments after a form submit
  • Updating opportunity status when a payment lands

Step 2: Build the workflow

  1. Go to Automations > Workflows.
  2. Click Create New Workflow.
  3. Give it a name that describes the outcome, not the trigger.

Step 3: Choose an opportunity trigger

Five triggers fire on opportunity events:

  • Opportunity Created — fires when a new opportunity is added. Filter by any standard or custom field.
  • Opportunity Status Changed — fires when status updates (won, lost, abandoned, open). Filterable by field.
  • Pipeline Stage Changed — fires when an opportunity moves between stages.
  • Stale Opportunities — fires when an opportunity hasn't moved in X days. Useful for re-engagement campaigns.

Step 4: Add actions

Common opportunity actions:

  • Create Opportunity — sets pipeline, stage, name, source, status, and lost reason on a new record.
  • Remove Opportunities — removes the matched opportunity from a specified pipeline.
  • If/Else — branches the workflow on a field condition. Note: opportunity fields are only available in If/Else when the workflow uses an opportunity-based trigger.

Step 5: Test before launch

  1. Run the workflow against test contacts or dummy data.
  2. Verify each action fires and writes the expected values.
  3. Adjust filters and timing based on what you see.

Step 6: Activate

Toggle Publish on once you're satisfied. Sparkforge fires the workflow every time the trigger conditions match.

Frequently Asked Questions

Can I use opportunity fields in If/Else branches?
Only when the workflow has an opportunity-based trigger. Without that, the opportunity context isn't available in the branch.
What does the Stale Opportunities trigger actually do?
It fires for opportunities that haven't moved in a number of days you specify. Pair it with a re-engagement email or a status update to clean up your pipeline.
Can a workflow create an opportunity from a form submission?
Yes. Use Form Submitted as the trigger and add the Create Opportunity action with the pipeline and stage you want the new deal to land in.
Will the workflow update an existing opportunity or create a duplicate?
Create Opportunity always creates a new record. To update an existing one, use the Update Opportunity action with a matching filter.
