Appointment List View is a list-based workspace inside Sparkforge Calendars built for managing appointments at scale. Instead of clicking through a date grid, you work from saved Smart Lists that combine filters, sorting, and columns — and act on appointments directly from the list.

Open Appointment List View

  1. Click Calendars in the left-hand menu.
  2. Select the Appointment List View tab at the top.

Appointment types

Appointment type is set by the calendar used at booking — Meeting, Service, or Rental. Appointment List View filters by type, so pick the right type to see the right appointments.

Create a new appointment from the list

Click New Appointment to open the manual booking flow. Pick a calendar, date, and time, and link the appointment to an existing contact or create a new one. The appointment lands in the list according to type and the active Smart List.

Default lists and Smart Lists

Sparkforge ships three default lists: Upcoming, Cancelled, and All. For anything more specific, click + Smart list to save your own filters, sorting, and column setup.

Customize the list

Click Customize List to open the configuration panel. Use it to:

  • Rename the current list
  • Apply Advanced Filters
  • Configure sorting
  • Show, hide, and reorder columns

Save the configuration as a Smart List so the same setup is one click away next time.

Advanced Filters

Common filter dimensions:

  • Appointment status (Confirmed, Cancelled, No Show, etc.)
  • Assigned user
  • Calendar
  • Appointment date or time range
  • Contact details

Filters combine with AND logic — appointments must match every condition. Use Add Filter to refine further.

Sorting

Common options: Appointment Time and Date Added, ascending or descending. Sort is saved with the Smart List.

Columns

Show or hide columns, reorder by drag-and-drop, and view locked system columns. Column setup is part of the Smart List.

Update status without opening the appointment

Click the Status dropdown directly in an appointment row to set Confirmed, Showed, No Show, Cancelled, or Invalid. Changes save immediately and propagate across Sparkforge.

Row actions

Click the ⋮ menu on any row for these actions:

  • View Details — open the full appointment record.
  • View Consent — visible if consent tracking is enabled.
  • Edit — update contact, notes, or assigned calendar.
  • Reschedule — change date or time, keep the same appointment record.
  • Delete — permanently remove the appointment.
