How to Set Up Service Calendars for a Yoga Studio
Service Calendars let a yoga studio book classes, private sessions, and workshops with the right instructor, studio room, and props auto-reserved. Set up staff first, build groups, create per-service calendars, then publish a Service Menu link.
Service Calendars in Sparkforge automate yoga studio bookings, lock in instructor schedules, and reserve rooms and props so two clients never land on the same mat. This walkthrough sets up classes, private sessions, and workshops end to end.
What a Service Calendar does
A Service Calendar pairs a specific service (Vinyasa class, private session, sound bath) with the staff who can run it, the studio room it lives in, and the equipment it needs. Clients book in seconds and your schedule stays clean.
Why studios use them
- Self-serve booking: Clients book without calling the front desk.
- Resource locks: Mats, blocks, and bolsters reserve automatically.
- Instructor schedules: Each teacher's hours drive availability.
- Service groups: Bundle offerings into Classes & Private Sessions or Workshops.
- Multi-service bookings: Clients add a private session to a class in one flow.
- Branding: Logo and color customizations on the booking page.
Add staff and availability
You cannot save a service without at least one assigned instructor.
- From the subaccount, go to Settings → My Staff → Add User.
- Enter the instructor's name, email, and extension. Set permissions to limit access if needed.
- Define working hours (e.g., Mark: Mon/Wed/Fri 9am-5pm; Henry: Tue-Sat 11am-7pm) and click Save.
Create groups for your services
Groups categorize services and each group gets its own booking link.
- Open Calendars → Calendar Settings.
- Under Preferences → Account Preference, toggle Service Menu on.
- In the Calendars tab, click + New Group.
- Enter the group name, description, and URL slug. Pick a Classic or Neo template and click Create.
Build the service calendar
- Select the group and click Create Calendar, then choose Service Booking.
- Fill in service name, assigned staff, custom URL, duration, and availability. Click Advanced Settings for the deeper config panels.
- Service Details: Upload a service logo, set a clear name (Vinyasa Class, Private Yoga, Sound Bath), write a short description, and assign a group and custom URL like
/yoga-class-booking. - Appointment & staff: Set the invite title (placeholders like
{{contact.name}}work), assign qualified instructors, set the meeting location (studio, specific room, or video link), and pick a meeting color for internal calendar views. - Rooms: Assign a physical space such as Studio Room 1 for classes or Studio Room 2 for workshops. Once booked, that room is locked.
- Equipment: Link mats, blocks, bolsters, or straps with quantities. The system reserves them per booking.
Edit an existing calendar
Go to Meetings → Service Calendars (v1), find the calendar, and click the pencil under Actions to update staff, availability, or resources without rebuilding it.
Publish a Service Menu
The Service Menu shows multiple services or groups on one public booking page.
- Open Meetings → Service Calendars (v1) → Service Menu and click + Create Service Menu.
- Enter menu name, description, and URL slug. Pick a form and toggle the consent checkbox if needed.
- Under Additional Options, toggle Enable Add Guests, Multiple Service Selection, and Staff Selection as needed.
- Click Select Services and pick the groups or calendars to include.
- Open Arrange your services and drag your top-converting services to the top.
Share the menu URL on your site, social, and follow-up texts. Clients pick a service, instructor, and time without ever calling the studio.
