How to Set Up Service Calendars for Photographers

By Sparkforge Support Team ·Last reviewed May 3, 2026

Service Calendars let photographers book portraits, events, and studio sessions while reserving the right photographer, studio space, and gear. Set up staff first, build groups, create per-service calendars, then publish a Service Menu.

For photographers running multiple service types, Sparkforge Service Calendars handle scheduling, staff hours, studio space, and gear assignments in one flow. Here is how to set them up for portrait sessions, event coverage, and studio shoots.

What a Service Calendar does

A Service Calendar ties a service (portrait, event, studio shoot) to a photographer, a studio space, and the gear required. Clients book the service they want and the system reserves the matching resources.

Why photographers use them

  • Self-serve booking: Inquiries turn into confirmed sessions without back-and-forth.
  • Resource locks: Cameras, lenses, lights, and backdrops reserve per booking.
  • Photographer schedules: Each photographer's hours drive what slots show.
  • Service groups: Organize as Portraits & Events or Studio Sessions.
  • Multi-service bookings: Add headshots to a portrait session in one cart.
  • Branding: Logo and brand colors on the booking page.

Add staff and availability

  1. From the subaccount, go to Settings → My Staff → Add User.
  2. Enter the photographer's name, email, and extension. Set permissions if needed.
  3. Define working hours (e.g., Mark: Mon/Wed/Fri 9am-5pm; Henry: Tue-Sat 11am-7pm) and click Save.

Create groups for your services

  1. Open Calendars → Calendar Settings.
  2. Under Preferences → Account Preference, toggle Service Menu on.
  3. In the Calendars tab, click + New Group.
  4. Enter group name, description, and URL slug. Pick Classic or Neo and click Create.

Build the service calendar

  1. Select the group and click Create Calendar, then choose Service Booking.
  2. Fill in service name, assigned staff, custom URL, duration, and availability. Open Advanced Settings for full config.
  3. Service Details: Upload a service logo, set the name (Portrait Session, Event Coverage, Studio Shoot), write a description, assign a group, and set a custom URL like /portrait-booking.
  4. Appointment & staff: Set the invite title (use placeholders like {{contact.name}}), assign qualified photographers, set the meeting location (studio address, specific space, or video link), and pick a meeting color.
  5. Rooms: Assign studio spaces such as Studio Space 1 for portraits or Studio Space 2 for events. Booking that service reserves that space.
  6. Equipment: Link cameras, lenses, lights, or backdrops with quantities. Bookings reserve the gear so it never double-books.

Edit an existing calendar

Open Meetings → Service Calendars (v1), find the calendar, and click the pencil under Actions to update without rebuilding.

Publish a Service Menu

  1. Open Meetings → Service Calendars (v1) → Service Menu and click + Create Service Menu.
  2. Enter menu name, description, and URL slug. Pick a form and toggle consent if needed.
  3. Under Additional Options, toggle Add Guests, Multiple Service Selection, and Staff Selection as needed.
  4. Click Select Services and pick the groups or calendars to include.
  5. Open Arrange your services and drag the highest-converting services to the top.

Drop the menu URL on your site, in your inquiry auto-replies, and in social bios. Clients pick the service, photographer, and time without you negotiating in DMs.

Frequently Asked Questions

Why won't a photographer service calendar save?
At least one photographer must be assigned. Add a staff user and try again.
Why are no time slots appearing?
Check the photographer's availability and the room and equipment quantities. A conflict in any of those hides the slot.
Can clients add a second service like headshots?
Yes. Enable Multiple Service Selection on the Service Menu so they can stack add-ons in one booking.
Can I require a deposit when a client books?
Yes. Connect Stripe or PayPal under Forms & Payment to charge at booking.
How do I stop two clients from booking the same studio space?
Assign the room (and any one-of-a-kind gear) to the service. Sparkforge locks it for the duration of the booking.
