Use the Invoice Workflow Trigger in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

The Invoice trigger fires when an invoice changes status (sent, paid, partially paid, viewed, void). Pair it with tag and custom-field filters to drive reminders, thank-you sequences, CRM updates, and team notifications.

The Invoice workflow trigger fires actions when an invoice changes status. Use it to send payment reminders, fire thank-you emails on Paid, update CRM fields, or notify the right team based on amount.

What it does

The trigger watches invoice status changes and starts a workflow. Combined with tag and custom-field filters, you can target very specific scenarios — for example, only paid invoices over $5,000 tagged renewal.

Set up the trigger

  1. Open Automation and create a new workflow (or edit an existing one).
  2. Click + Add New Trigger and pick Invoice.
  3. Name the trigger something descriptive, e.g. Post Workshop Invoice Sent.
  4. Apply filters (see below).
  5. Add the actions to run.
  6. Save and activate.

Invoice status filter

  • Paid — invoice paid in full. Use for thank-you emails, CRM updates, finance notifications.
  • Partially Paid — partial payment received. Use for installment tracking.
  • Sent — invoice was sent. Use to schedule reminder cadences.
  • Viewed — customer opened the invoice. Use to time the next nudge.
  • Void — invoice voided. Use to stop reminders and update finance records.

Additional filters

Tag

Restrict the trigger to invoices on contacts with specific tags. Useful for separating renewals, upsells, or campaign-driven invoices.

Custom Fields

Filter by custom field values — payment terms, customer tier, region — to fire different sequences for different account types.

Common actions to pair with this trigger

  • Send email or SMS notifications.
  • Update CRM fields or stage.
  • Assign follow-up tasks to an owner.
  • Notify a team via internal notification.

Avoid duplicate reminders after payment

Build a second workflow triggered on Paid that removes the contact from the reminder workflow. Or enable Stop on Response on the original workflow so it exits when the payment posts.

Frequently Asked Questions

Can I have separate workflows for different invoice statuses?
Yes. Build one workflow per status — Sent, Paid, Partially Paid, Void — and tailor the actions to each.
How do I stop reminder messages once an invoice is paid?
Either fire a second workflow on Paid that removes the contact from the reminder workflow, or enable Stop on Response so the workflow exits when the payment is recorded.
Can I use multiple filters on one trigger?
Yes. Combine invoice status with tag filters and custom field filters to narrow down to exactly the scenario you want to automate.
Can different teams get notified based on invoice amount?
Yes. Filter on a custom field or condition for invoice amount and route the notification action to the right team.
Does the trigger fire on Viewed status?
Yes. Viewed fires when the customer opens the invoice, which is useful for timing the next follow-up.
