Workflow Action: Update an Associated Record for a Contact
The Update Associated Record action modifies fields on custom object records linked to a contact. Scope it by association label to update one record, several records, or every associated record at once.
The Update an Associated Record workflow action modifies fields on a custom object record that is already linked to a contact. Use it to keep related records current — service history, warranty status, project stage — without manual edits.
What the action does
From inside a contact-based workflow, you select a custom object, choose which records to update by association label, and set the new field values. One run can update a single record or every record that matches the label.
Requirements
- At least one custom object configured in the sub-account.
- An association label defined between that object and contacts.
- At least one record already associated to the contact running the workflow.
Configuration
- Object to Update — the custom object holding the record.
- Association Label — narrows which records get updated. Choose All associated records to update every linked record on that object.
- Fields to Update — values to write. Static values, custom values, and merge fields are all supported.
Example: warranty tracking after a service request
A home appliance company uses a Warranty custom object with Warranty Start Date, Warranty Expiry Date, and Service History fields. When a customer logs a service request, the warranty record needs to capture the service.
- Object to Update — Warranty
- Association Label — Purchased Product
- Fields to Update:
- Service History — append the service details
- Last Service Date — set to today's date
The workflow runs whenever a service request comes in, updates the warranty record, and the customer's full service history stays visible on their contact record.
