Workflow Action: Create an Associated Record for a Contact

By Sparkforge Support Team ·Last reviewed May 3, 2026

The Create Associated Record action spawns a new custom object record from inside a contact-based workflow and links it to the contact using an association label. Useful for tracking properties, contracts, installs, or anything tied to a contact.

The Create an Associated Record workflow action creates a new custom object record and ties it to the contact running the workflow. It is the right action whenever a contact needs a related record — properties for a real estate lead, contracts for a client, installs for a customer.

What the action does

From inside a contact-based workflow, you pick a custom object, set its field values, and choose an association label. The action creates the record and links it to the contact automatically. Custom values and merge fields are supported, so field values can come from the contact record itself.

Requirements

  • At least one custom object configured in the sub-account.
  • An association label defined between that object and contacts. Without an association label, the action has nothing to link.

Configuration fields

  • Object Record to Create — the custom object the new record belongs to.
  • Fields — values for the new record. Use static values, custom values, or contact merge fields.
  • Association Label — categorizes the relationship between the contact and the new record.

Example: solar installer tracking install dates

A solar company tracks site survey and install dates on an Install custom object. When an Opportunity is marked Won, the workflow should spin up an Install record automatically.

  1. Object Record to Create — Install
  2. Fields:
    • Site Survey Date — auto-filled with today's date
    • Install Date — auto-filled based on scheduling
  3. Association Label — Installation Scheduled

When the Opportunity hits Won, the workflow creates the Install record and links it to the contact under the Installation Scheduled label. From that point forward, the install record travels with the contact and shows up on the contact detail view.

Frequently Asked Questions

What's an association label?
It's the named relationship between a custom object and a contact — for example, Installation Scheduled, Purchased Product, or Subscribed Service. You must define one before the Create Associated Record action will work.
Can I set field values dynamically?
Yes. The action supports custom values and merge fields, so you can populate the new record using data from the contact or sub-account.
Does this action work in non-contact workflows?
No. This action runs inside contact-based workflows. The created record is always associated to the contact that triggered the workflow.
Can a single contact have multiple associated records on the same object?
Yes. Each run of the action creates a new record, so a contact can accumulate many associated records on the same object over time.
