Form Submitted Workflow Trigger in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

The Form Submitted trigger fires a workflow whenever a chosen Sparkforge form is submitted. Use it to send confirmations, route leads, and create follow-up tasks without manual work.

The Form Submitted trigger starts a workflow the moment a contact submits one of your Sparkforge forms. Use it to send confirmations, notify your team, update CRM records, and create follow-up tasks automatically.

What it does

When the trigger detects a submission on a form you specify, it kicks off the rest of the workflow. You can target a single form, multiple forms, or any submission depending on how you set the filters.

Why use it

  • Less manual work: notifications, CRM updates, and tasks fire on their own.
  • Faster response: leads get acknowledged in seconds, not hours.
  • Clean data: form fields land directly on the contact record.
  • Flexible filters: target specific forms or all forms.
  • Scales: handles high submission volume without extra setup.

How to configure it

  1. Open Automation and create a new workflow or open an existing one.
  2. Click Add New Trigger and pick Form Submitted.
  3. Name the trigger something descriptive, like Customer Feedback Form Submitted.
  4. Under Form Is, choose the form that should fire the workflow.
  5. Save the trigger, build out the rest of the workflow, then run a test submission.
  6. Toggle Publish to activate.

Common use cases

Lead capture

Filter on your Lead Capture Form. Score the lead, update the CRM, and notify the sales team.

Customer feedback

Filter on a Customer Feedback Form. Send a thank-you email and append the responses to the contact record for review.

Event registration

Filter on an Event Registration Form. Send a confirmation email and add the attendee to your event list.

Appointment requests

Filter on an Appointment Booking Form. Notify the scheduling team and send a confirmation to the patient or client.

Onboarding intake

Filter on a Customer Information Form. Push the data into the contact record and create a follow-up task for the account owner.

Tips

Use merge fields like {{contact.name}}, {{contact.email}}, and any custom fields tied to the form to pull submitted values into your follow-up email.

For repeat submissions, add wait steps or workflow conditions so the same contact doesn't get hit with duplicate messages.

Frequently Asked Questions

Can one workflow respond to multiple forms?
Yes. Add additional Form Submitted triggers or broaden the filter to match more than one form.
What happens if the same contact submits the form twice?
The trigger fires every time. Use a wait step, conditional branch, or cooldown to prevent duplicate messages.
How do I include the submitted answers in my follow-up email?
Use contact and custom field merge tags in the email body. The values map automatically when the email sends.
Can it handle forms missing required fields?
Yes. Add a workflow condition that checks for required values and branches, alerts, or skips when fields are blank.
Does it work with forms built outside Sparkforge?
The trigger only watches forms built inside Sparkforge. For external forms, push submissions in via webhook or an integration, then trigger off the resulting contact event.
