How to Use Notes for Contacts, Opportunities, and Companies in Sparkforge
Notes are internal-only entries attached to contacts, opportunities, and companies. Add a title, description, color label, and attachments — clients never see them, but every team member with record access does.
Notes in Sparkforge are internal annotations on contact, opportunity, and company records. They keep call summaries, payment confirmations, and account context in one place where your team can find them. Clients cannot see them.
Where Notes live
Contacts
Each contact has its own Notes panel, opened with the pen-and-paper icon at the top of the contact record. Use it for call recaps, preferences, and one-off context tied to that single person.
Opportunities
Opportunity Notes default to the primary contact's notes. Filters expand the view to include notes from other contacts linked to the same deal — useful when several people influence one sale.
Companies
Company Notes aggregate across every contact tied to that company, giving account managers a single rolled-up view of every conversation across stakeholders.
Add a Note
- Open the record (Contact, Opportunity, or Company).
- Click the Notes icon in the right pane.
- Click + Add Note.
- Enter a Title and Description.
- Pick a Color label to categorize.
- Attach files if you need to keep supporting docs with the note.
- Click Save.
Search and sort
The search bar inside the Notes panel matches on note text. The sort icon switches between newest-first and oldest-first.
Pin critical notes
Pin a note to keep it at the top of the timeline. Useful for billing flags, allergy warnings, or any context the next team member needs immediately.
Appointment notes flow into related records
Notes created on an appointment surface on the linked Contact, Opportunity, and Conversation records, so the same appointment context shows up everywhere. Notes created directly on a contact stay on the contact and don't sync back to the appointment.
What Notes can't do
- Trigger workflows — only contact and opportunity events do.
- Export as a standalone report — they ride along on contact exports through Smart Lists.
- Show up to clients — Notes are internal-only.
