Link Notes to Contacts and Opportunities in Sparkforge CRM

By Sparkforge Support Team ·Last reviewed May 3, 2026

Sparkforge CRM lets you associate each note with a contact, an opportunity, or both. Enable Opportunity Notes in Labs, then filter notes by association to focus on the records that matter for the task at hand.

Notes Association lets you link CRM notes specifically to contacts, opportunities, or both. That keeps deal-related context separate from general customer notes without losing search or visibility.

What Notes Association changes

Instead of dumping every note into one shared view, you choose where each note lives. Deal notes stay with the opportunity. General notes stay with the contact. Notes that belong to both appear in both views.

Why use it

  • Entity-specific notes keep opportunity context out of the general contact view.
  • Flexible associations support contact-only, opportunity-only, or shared notes.
  • Smart filtering narrows the view by entity in one click.
  • Search still spans every entity so nothing gets buried.

Enable Opportunity Notes

The feature lives in Labs and must be turned on per sub-account.

  1. Open your sub-account.
  2. Click Settings in the left navigation.
  3. Go to the Labs tab.
  4. Toggle Opportunity Notes on.

Create a note with an association

  1. Open a contact or opportunity record.
  2. Click the Notes tab.
  3. Click + Add Note.
  4. Write your note.
  5. Use the Associate With dropdown and choose Contact, Opportunity, or Both.
  6. Click Save.

Filter notes by association

  1. Open the Notes tab on a contact or opportunity.
  2. Click the Filter icon.
  3. Pick a view: All Notes, Contact-only, Opportunity-only, or Notes associated with both.

How notes appear in each view

  • Contact view — notes linked to that contact, plus shared opportunity notes that include the contact.
  • Opportunity view — only notes associated with that specific opportunity.

Frequently Asked Questions

Will my existing notes change?
No. Existing notes stay as they are. The new association options only apply to notes created after you enable Opportunity Notes.
Can a note be linked to multiple contacts or opportunities?
Not yet. Each note can be linked to one contact and one opportunity at a time.
Is Notes Association available everywhere?
It is currently in Labs and must be enabled per sub-account under Settings > Labs.
Can I change a note’s association after saving?
Reassignment is not supported yet. Duplicate the note and associate the copy with the entity you want.
Does Notes Association work on mobile?
Mobile support is in development and will arrive in a future update.
What happens to a note when its contact or opportunity is deleted?
A note is only removed when every entity it is linked to has been permanently deleted. If at least one association remains, the note stays.
