Create Subscriptions and Invoices from a Contact Record in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

The Payments tab inside a Sparkforge contact record lets you create subscriptions and invoices without leaving the conversation. Customer details auto-fill, AutoPay can be set on a saved card, and the new billing item appears on the timeline immediately.

Sparkforge lets you create a subscription or invoice directly from a contact's record. Open the Payments tab on the contact, pick the action, and the customer details pre-fill so you can charge or schedule billing during a live conversation.

Why bill from the contact record

  • Speed: Create and send a bill without leaving the conversation.
  • Fewer errors: Contact details auto-fill so there is less manual entry.
  • Context: Past invoices, subscriptions, and payment methods sit alongside CRM activity.
  • Visibility: The new subscription or invoice shows up on the contact timeline and in Payments instantly.

Prerequisites

  • A supported payment provider connected in Payments › Integrations (for example, Stripe).
  • Payment methods enabled for your product areas.
  • At least one Recurring Product configured if you sell subscriptions.
  • Tax and discount settings that match your accounting rules.
  • User permissions in Payments that allow creating subscriptions and invoices.
  • Recommended: a card on file for the contact so AutoPay reduces failed charges.

If you use a custom payment provider app, the provider must support subscription schedules with saved payment methods to enable manual AutoPay.

Create a subscription from a contact

  1. Open the contact in Contacts.
  2. Go to the Payments tab and select Actions › Create Subscription.
  3. Pick a Recurring Product, then set the start date, quantity, and any coupon.
  4. Select an existing payment method on file, or add a new one for AutoPay.
  5. Review the first charge and confirm.

The subscription's billing cycle is inherited from the recurring product you choose. Whatever cycle the product uses (weekly, monthly, annually) becomes the subscription's cycle.

Create an invoice from a contact

  1. Open the contact in Contacts.
  2. Go to Payments › Actions › Create Invoice.
  3. The invoice creation page opens with customer details already filled in.
  4. Add the line items, taxes, and notes.
  5. Save and send the invoice.

Frequently Asked Questions

How is the billing cycle for a subscription set?
The subscription inherits the cycle from the recurring product you select. If the product is monthly, the subscription bills monthly.
What happens if a customer's payment method fails during subscription setup?
Sparkforge prompts you to pick another card on file or add a new one. The subscription is not activated until a valid payment method is in place.
Can I create multiple subscriptions for the same contact?
Yes. Each subscription can have its own products, billing dates, and payment method on the same contact record.
Does AutoPay work for every payment provider?
AutoPay needs a provider that supports subscription schedules with saved payment methods. Some custom payment provider apps may not expose AutoPay for manually created subscriptions.
