Configure Advanced Conversation AI Bot Settings in Sparkforge

Advanced settings control bot timing and message volume. Set the wait time, max message limit, and sleep mode so the bot feels natural and never steps on a live agent.

Advanced bot settings in Sparkforge control how the bot times its replies, how many messages it sends per conversation, and when it stays quiet during manual handoffs. Tuning these correctly is the difference between a bot that feels human and one that feels broken.

Business name

The bot pulls your business name from account settings automatically. Every reply uses the name as configured — no manual placeholder swapping required. If your business is "Tech Solutions," the bot greets and signs off with that name across every channel.

Wait time before responding

The wait time adds a delay before the bot replies, which keeps conversations from feeling robotic. Most businesses land on 5-20 seconds. Match the delay to your industry's expectations — a dental front desk might respond faster than a contractor mid-job.

  • Too short — the bot interrupts before the customer finishes typing.
  • Too long — the conversation feels dead.
  • Test live with real customers and adjust.

Maximum message limit

This caps how many messages the bot sends in a single conversation. Once it hits the cap, it stops until the limit is reset.

Example: with a 10-message limit, the bot stops after its 10th message. To resume, reactivate the bot through the contact record or use the workflow action Update Conversation AI Bot and Status.

Send bot to sleep

Sleep mode pauses the bot during manual interventions or workflow steps that need uninterrupted communication. Use it when:

  • A live agent jumps into the conversation.
  • A workflow is running a sequence that the bot shouldn't disturb.
  • You're testing or troubleshooting a workflow.

Guided Form behavior

If you're using a Guided Form bot, the conversational enhancements — dynamic phrasing, context-aware tone, and distraction handling — work automatically. You don't need to adjust timing or limits to enable them.

Frequently Asked Questions

What's a good default wait time for a Conversation AI bot?
5-20 seconds works for most businesses. Lower wait times feel faster but risk cutting off customers mid-thought. Test with real conversations and tune from there.
What happens when the message limit is reached?
The bot stops sending messages on that conversation. To resume, reactivate the bot through the contact record or use the Update Conversation AI Bot and Status workflow action.
How do I stop the bot during a live agent handoff?
Use Send Bot to Sleep on the conversation, or trigger a workflow that pauses the bot when an agent takes over. The bot stays quiet until you reactivate it.
Why isn't my bot responding?
Two common causes: the bot is in sleep mode, or it hit the maximum message limit. Reset the conversation or update the bot status, then check that the channel is still assigned.
