Update Conversation AI Bot and Status Workflow Action

By Sparkforge Support Team ·Last reviewed May 3, 2026

The "Update Conversation AI Bot and Status" workflow action assigns a specific bot to a contact and flips its status to Active or Inactive. Use it to route SMS, chat, or channel-specific bots based on tags, payments, or workflow triggers.

The Update Conversation AI Bot and Status action lets a workflow assign a specific Conversation AI bot to a contact and set that bot's status to Active or Inactive. It removes the manual step of editing bot assignments contact-by-contact and gives you precise control over which bot replies, on which channel, under which conditions.

What the action does

  • Assigns a chosen Conversation AI bot to the contact in the workflow.
  • Sets the bot's status for that contact to Active, Inactive, or Keep Same (no change).
  • Branches immediately on assignment — it does not wait for the conversation to finish.

Channel compatibility

The bot you assign must have the matching channel enabled. Assigning a Facebook-only bot to an SMS workflow will not produce replies on SMS.

Common use cases

  • Dedicated bot per channel (one for SMS, one for live chat, one for Facebook).
  • Bot routing based on tags (e.g., contacts tagged Call Booked get the booking bot).
  • Bot activation after a payment, form submission, or appointment booking.
  • If/Else branching that selects a different bot per segment.

Example: dedicated SMS bot

  1. Create a workflow.
  2. Set the trigger to Customer replied via SMS.
  3. Add the action Update Conversation AI Bot and Status.
  4. Pick your SMS bot from the dropdown.
  5. Set status to Active.
  6. Publish.

Example: tag-based assignment

  1. Trigger: Contact added with Tag: Call Booked.
  2. Action: Update Conversation AI Bot and Status → pick the booking bot, set Active.
  3. Publish.

Example: activate after payment

  1. Trigger: Payment Received.
  2. Action: Update Conversation AI Bot and Status → pick your sales/onboarding bot, set Active.
  3. Publish.

Where to verify the assignment

Open the contact in Conversations — the assigned bot is shown on the conversation thread.

Notes

You can run multiple bots in parallel as long as each is scoped to a different channel. Bot assignments can be updated again later in the workflow if conditions change.

Frequently Asked Questions

Does this action wait for the conversation to finish?
No. It assigns the bot and immediately continues to the next workflow step.
What does "Keep Same" do?
It leaves the existing bot assignment unchanged. Use it when only some branches should swap bots.
Can one contact have different bots on different channels?
Yes. Assign a separate bot per channel as long as each bot has the matching channel enabled.
Why isn't my assigned bot responding?
The bot must have the channel enabled (SMS, Facebook, web chat, etc.) and its status must be Active. Check both.
Can I reassign a bot later in the same workflow?
Yes. Add the action again with a different bot or status — useful for If/Else branches or escalations.
