Trigger a Workflow from Sparkforge Conversation AI

Trigger a Workflow lets a Sparkforge Conversation AI bot fire a published workflow when a customer's intent matches a condition you define. Pair the action with a prompt that naturally surfaces the condition during the chat.

The Trigger a Workflow action lets a Sparkforge Conversation AI bot fire any published workflow when a customer's response matches a condition you define. This is how you connect natural conversation to downstream automation — booking, billing, follow-up sequences — without making the user click through a form.

Set up Trigger a Workflow

  1. Open the bot and go to the Bot Goals tab. New bots need a name before you can access this feature.
  2. Click Trigger a workflow.
  3. Configure the fields below and click Save.

Field-by-field setup

  • Action Name: a label so you can recognize the trigger later, for example "Subscription Workflow".
  • Select a published workflow to trigger: pick from the dropdown. The workflow must be published before you can select it.
  • When to trigger a workflow: a short description of the condition the bot should listen for. Example: "Customer wants to purchase the subscription" or "Customer wants to book an appointment". The AI uses this to recognize matching intents during the conversation.

Write prompts that surface the trigger

Trigger conditions only fire when the conversation actually surfaces them. Structure the bot's prompt so it asks the right questions.

For a condition like "Customer wants to book an appointment", give the bot a prompt that leads to questions like "Would you like to book an appointment?". The condition arises naturally and the workflow fires.

Handle duplicate trigger conditions

If a single response matches multiple conditions — say both an Update Contact Info action and a Trigger a Workflow action listen for date of birth — the AI picks one based on its prioritization. Design conditions so they do not overlap when both should fire.

Triggers from bot or user responses

A condition can fire on either side of the conversation. Whether the bot raises the topic or the user does, the workflow triggers as soon as the response matches.

Avoid duplicate workflow execution

If the workflow you select also has its own published trigger inside Workflow Automation, it will fire twice. Pick one path: either the workflow runs from Workflow Automation, or it runs from Conversation AI — not both with the same trigger.

Frequently Asked Questions

Can I update contact fields from a workflow triggered by the bot?
Yes. Add an Update Contact Field action inside the workflow you select. This is the recommended way to enrich contact records when Add Contact Info hits its field limit.
Why does my workflow run twice?
The same workflow probably has its own trigger in Workflow Automation, plus the Trigger a Workflow action in Conversation AI. Remove one of the two triggers.
Can a trigger fire on either the bot's question or the customer's reply?
Yes. Conditions can match either side of the conversation — the bot leading or the user volunteering — as long as the response aligns with your condition description.
What happens when two trigger conditions match the same response?
The AI picks one based on its prioritization. Avoid overlapping conditions when both should fire — use a workflow with multiple actions instead.
