How to Train a Conversation AI Bot with Web Crawler and FAQs

By Sparkforge Support Team ·Last reviewed May 3, 2026

Two tools train your Conversation AI bot: the Web Crawler ingests content from URLs, paths, domains, or Google Docs, and Custom Bot Responses lock in exact answers for high-priority questions.

A Conversation AI bot is only as good as the data it's trained on. Sparkforge gives you two tools: the Web Crawler for broad knowledge, and Custom Bot Responses (FAQs) for precise answers. Use both together for accuracy and consistency.

Why training matters

  • Accuracy — relevant data sources mean precise responses to customer questions.
  • Efficiency — automated answers reduce manual handoffs.
  • Consistency — every customer gets the same vetted response.
  • Scale — handle a growing customer base without growing your team.

Web Crawler

The Web Crawler pulls content from your website (or any other public source) into the bot's knowledge base. You can target a single page, a path, an entire domain, or a Google Doc.

Best practices before crawling

  • Make sure URLs and documents are current — outdated info gets answered as if it's fresh.
  • Prioritize pages that answer common questions, not promotional fluff.
  • Structure content with clear headings and concise paragraphs for cleaner parsing.

Step 1: Choose the domain type

The domain type controls how many URLs get crawled.

  • Exact URLs — one specific page. Example: https://www.sparkforge.com/ crawls only the homepage.
  • All URLs with Path — every page under a path. Example: https://www.sparkforge.com/marketing crawls /marketing/offers, /marketing/promotions, etc.
  • All URLs in Domain — every page on the root domain.

Step 2: Crawl

Click Get Data. The crawl takes longer for larger scopes — domain-wide crawls can take several minutes.

Step 3: Pick which URLs to use

Crawled URLs appear as a list. Select all, or pick individual URLs with the checkboxes. Only the URLs you select become part of the bot's training data.

Train with Google Docs

Paste a Google Doc URL to use the document as a training source. This works well for internal SOPs, FAQ documents, or service descriptions you'd rather not publish on a public website.

Required setting

  1. Open the Google Doc.
  2. Click Share in the top right.
  3. Under General Access, choose Anyone with the Link.

If you don't change the share setting, Sparkforge can't read the document and the import fails with a permission error.

Custom Bot Responses (FAQs)

Custom Bot Responses give you exact, word-for-word control over how the bot answers specific questions. Use them for pricing, policies, hours, and anything where a paraphrase could cause problems.

Best practices

  • Keep answers tight — one or two sentences when possible.
  • Anticipate variations of the same question. The bot matches similar phrasing, but explicit variations help.
  • Update FAQs as your offerings change. Stale answers do real damage.

Add FAQs manually

  1. Click + Add Q&A.
  2. Enter the question and the exact response.
  3. Save.

Add FAQs via feedback

During live conversations or test sessions, use the thumbs-down button on a bad response. Sparkforge automatically creates a new FAQ entry from that interaction so you can refine the answer in place.

Frequently Asked Questions

How many URLs can I train one bot on?
Up to 4,000 web URLs per knowledge base. Combine Exact URLs, path-level crawls, and full-domain crawls to build coverage without hitting the cap.
Why is my Google Doc returning a permission error?
The doc isn't public. Open the doc, click Share, and set General Access to Anyone with the Link. Without this, Sparkforge can't read the content.
How often should I retrain my bot?
Quarterly is a reasonable baseline. Retrain immediately after major changes — new pricing, new services, updated policies. Stale data leads to wrong answers.
What happens when the bot can't answer a question?
Depending on settings, the bot can ask for clarification, fall back to a default response, or escalate to a human agent. Configure escalation triggers in the bot's prompt and workflow setup.
Should I use the Web Crawler or Custom FAQs?
Both. The Web Crawler covers general knowledge fast. Custom FAQs lock in exact answers for the questions that matter most — pricing, policies, hours. Use FAQs to override anything the crawler gets wrong.
