How to Set Up Collective Booking Calendars in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

A collective booking calendar combines multiple team members' availability into one shared time slot — useful for sales calls, support escalations, or interviews where everyone needs to be on the same call.

Collective booking schedules a single appointment with multiple team members at once. Sparkforge looks at each member's availability and only offers slots that work for everyone on the calendar. Use it for sales calls with an AE plus an SDR, support calls that need both a CSM and an engineer, or interviews with a recruiter and a hiring manager.

Set one up

  1. Go to Calendars → Calendar Settings.
  2. Click Create Calendar and pick Collective Booking.
  3. Enter a name, add the team members, set a meeting location (physical address or virtual link), and review the custom URL — Sparkforge checks that the URL is available before saving.
  4. Save. The calendar is ready to share.

Primary owner

Every collective booking has one Primary Owner — they lead the appointment, are recorded as the appointment owner, and receive contact assignments when contact assignment is enabled. By default the first team member added is the primary owner; you can change this on the calendar settings any time.

Notifications

When a contact books, every team member on the calendar is notified. That keeps everyone aligned without manual forwarding.

Payments

If payments are enabled on the calendar, the booking only finalizes after payment is confirmed. Use this for paid consultations, group sessions, or any meeting where you want the deposit before the slot is held.

Limits and caveats

  • You can add up to 100 team members to one calendar — but the more members, the fewer overlapping slots will exist.
  • You can remove team members from the calendar except the Primary Owner. To remove the Primary Owner, change ownership first.
  • Already-booked appointments hold the calendar settings as they were at booking time. Changing the Primary Owner does not retroactively update existing bookings.
  • You can edit or reschedule an existing collective appointment, but you cannot change which team members are attached to it.

Frequently Asked Questions

Does collective booking work for virtual meetings?
Yes — physical or virtual. Use the Meeting Location field to set the address or video link.
Can I change the Primary Owner on a booking that's already on the calendar?
No. Existing appointments keep the settings they had at the time of booking. The Primary Owner change only applies to new bookings.
Are payments required for collective bookings?
Only if you enable them on the calendar. When enabled, the appointment isn't confirmed until payment goes through.
What happens if one team member is unavailable for a slot?
The slot doesn't appear. Sparkforge only offers times where every team member on the calendar has open availability.
