How to Create a Collective Booking Calendar in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

Collective Booking Calendars require at least two team members and only open slots when all of them are free. Set the calendar up under Calendars > Calendar Settings, then assign a Primary Owner who leads the meeting.

Collective Booking Calendars handle meetings that need multiple team members in the room at once. The slot only opens when every assigned member is free at the same time. Pick a Primary Owner to lead the meeting and own the appointment record.

Creating the calendar

  1. Go to Calendars → Calendar Settings.
  2. Click Create Calendar.
  3. Pick Collective Booking.
  4. Add the required details:
    • Calendar Name
    • Team Members — at least two are required for Collective.
    • Custom URL — auto-generated from the calendar name. Edit if you want a cleaner slug.
    • Meeting Location — recommended. If blank, Sparkforge uses the Primary Owner's custom location as the default.
  5. Click Confirm.

To customize after creation, click Edit Calendar. Settings are grouped by section. For Payments, Notifications & Policies, Widget Appearance, External Sync, and Booking Channels, open Advanced Settings.

Multi-service businesses: two patterns

If you offer several distinct services — say refrigerator repair, washer repair, and dryer repair — you have two solid options:

  • Separate calendars per service: different team members, availability windows, and meeting preferences for each service.
  • Single Collective calendar with a service dropdown: add a custom form field so customers pick the service at booking. Use contact assignment, tags, or automations to route the appointment internally.

Primary Owner

The Primary Owner leads the appointment. They own the appointment record, and if contact assignment is on, the contact is assigned to them. By default, the first team member added is the Primary Owner, and that team member can't be deleted from the calendar until you transfer ownership.

Changing the Primary Owner

  1. Open Edit Calendar and go to Basic Details (or the section with meeting and owner info).
  2. Find Make Owner next to any team member who isn't currently the Primary Owner.
  3. Click Make Owner on the team member you want to promote.

The new owner gets the Owner label.

Notifications

Only the assigned user gets the email notification. All team members on the calendar receive the standard calendar invite from their connected third-party calendar (Google, Outlook, iCloud).

Payments

If payments are enabled on the calendar, the customer pays first. Once payment confirms, Sparkforge books the appointment. The same flow that works on other calendar types works here.

Frequently Asked Questions

How many team members do I need for a Collective calendar?
At least two. Collective slot logic intersects multiple users' availability, so it needs more than one person to function.
Can I delete the Primary Owner?
No, not while they're the Primary Owner. Transfer ownership to a different team member first, then remove the original owner from the calendar.
Who gets email notifications when a Collective appointment books?
The assigned user gets the Sparkforge email notification. Every team member on the calendar receives a standard calendar invite from their connected Google, Outlook, or iCloud calendar.
Can I run multiple service types from one Collective calendar?
Yes. Add a service-selection dropdown to the booking form, then route appointments by tag, automation, or contact assignment. Or create one calendar per service if availability differs significantly.
Does the customer pay before the appointment is booked?
Yes, when payments are enabled on the calendar. Payment confirmation triggers the booking — no payment, no appointment.
