How to Let Webinar Attendees Pick a Time Slot in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

Use a custom dropdown field for time slots, drop it into a registration form, then run a workflow on form submission to send a confirmation email and optional reminders.

If you run a webinar with multiple time options, you want one registration form, a slot picker, and an automatic confirmation email that names the slot the registrant chose. Here's the setup in Sparkforge.

What you'll build

  1. A custom field that stores the chosen webinar slot.
  2. A registration form that includes that field.
  3. A workflow that sends a confirmation email — and optional reminders — on submission.

Step 1: Create a custom field for webinar slots

  1. Open Settings > Custom Fields.
  2. Click + Add Field.
  3. Pick Dropdown or Radio Select.
  4. Name it Choose Your Webinar Time.
  5. Set Object to Contact.
  6. Add slot options, for example: Tuesday 7PM, Thursday 2PM, Saturday 11AM.
  7. Leave Allow Custom Values unchecked so registrants can only pick from your list.
  8. Save.

Step 2: Add the field to a form

  1. Go to Sites > Forms and create or edit a form.
  2. From the Custom Fields tab, drag Choose Your Webinar Time onto the form.
  3. Add the standard fields — First Name, Last Name, Email.
  4. Save.

Registrants can now pick a slot when they sign up.

Step 3: Build the confirmation email workflow

Form settings only control on-page behavior — thank-you message, redirect, pixels. To send an email, use a workflow.

  1. Open Automation > Workflows and click Create Workflow.
  2. Add the trigger Form Submitted and select your webinar form.
  3. Add a Send Email action.
  4. Subject: Webinar Registration Confirmed.
  5. Body example:
    Hi {{contact.first_name}},

    Thank you for registering. You selected: {{custom_values.choose_your_webinar_time}}

Here's your webinar link: [Insert Zoom/Meeting Link]

    See you there.
  6. Save and publish.

Every registrant now gets a personalized confirmation that names their chosen slot.

Step 4: Optional — slot-aware reminders

To send reminders before the webinar:

  • In the same workflow, add Wait Until actions tied to the webinar time.
  • Send reminders at 24 hours, 1 hour, and 10 minutes before.
  • If you run multiple sessions, branch on the field with If/Else so each slot gets its own reminder schedule.

Frequently Asked Questions

Should I allow custom values in the slot field?
No. Leave Allow Custom Values unchecked so registrants only pick from your defined webinar times. Custom entries break the reminder logic.
Can I send the confirmation email without a workflow?
No. Form settings only control on-page behavior — the thank-you screen, redirects, and pixels. Sending an email requires a workflow with a Form Submitted trigger and a Send Email action.
How do I send different reminders per time slot?
Add an If/Else step in the workflow that branches on the Choose Your Webinar Time field. Each branch can have its own Wait Until and reminder messages.
How does the email include the chosen slot?
Use the merge token {{custom_values.choose_your_webinar_time}} in the email body. It pulls the registrant's selection straight from the custom field.
