Configure the Appointment Booking AI Workflow Action in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

The Appointment Booking Conversation AI action lets the AI book slots on a chosen calendar, with configurable personality, message limit, timeout handling, and channel (SMS, Facebook, or Instagram).

The Appointment Booking Conversation AI workflow action lets Sparkforge's AI book appointments on your behalf. It picks slots from a calendar you select, follows your tone and instructions, and routes the contact down a Booked, Not Booked, or Time Out branch.

Components of the action

Calendar

The AI pulls available slots from this calendar, suggests them, and books the appointment once the contact picks one. Recurring calendars are not supported.

Personality and additional instructions

Two prompt fields. Use them to shape voice, tone, and any constraints, like minimum lead time or specific question patterns, that improve booking probability.

Maximum messages limit

The cap on messages the AI will exchange before giving up and sending the contact down the Appointment Not Booked branch. Range is 5 to 25. Recommended: 15.

Time out value and unit

How long the AI waits for a contact reply before routing the contact down the Time Out branch. In Time Out, use a GoTo action pointing back at this same step to make the AI follow up.

Channel

Where the AI talks to the contact. Supported: SMS, Facebook, and Instagram.

Don't let the bot send confirmation message

By default the AI sends its own confirmation ("Great, you're booked for August 12 at 6 pm"). Check this box and the AI skips that message and sends the contact straight down the Appointment Booked branch. If you enable it, add a confirmation message inside the Appointment Booked branch so the contact still hears back.

Suggested flow

  1. Add the action and pick a calendar.
  2. Write the personality and instructions, then test on a single contact.
  3. Set message limit to 15 and a timeout that matches your audience's response habits.
  4. Wire the Time Out branch back into the action with a GoTo so the AI nudges quiet contacts.
  5. Decide whether the AI or your branch sends the confirmation, then keep it consistent.

Frequently Asked Questions

What channels does the AI use?
SMS, Facebook, and Instagram. Pick the one that matches where the contact came from.
Why can't I pick a recurring calendar?
The action doesn't support recurring calendars. Use a standard or round-robin calendar instead.
What does the message limit do?
It caps how many messages the AI exchanges before giving up. Once the cap hits, the contact moves down the Appointment Not Booked branch.
How do I get the AI to follow up after a timeout?
Place a GoTo action in the Time Out branch pointing back at the Appointment Booking AI action. The AI re-engages the contact.
Should I let the AI send the confirmation?
Either approach works. If you check Don't let the bot send confirmation, add your own confirmation message in the Appointment Booked branch so the contact still gets feedback.
