Set Up the AI Appointment Booking Bot in a Workflow
The AI conversational appointment booking workflow listens for replies, has the bot negotiate a time on a chosen calendar, and ends in one of three states: booked, timed out, or failed. Branch on each outcome to send confirmations or fall back to human follow-up.
How to set up the workflow
- Create the workflow. Add a trigger such as Customer Replied (or any other trigger that fits your funnel).
- Add the AI Appointment Bot action. Pick the calendar the bot should book against.
- Set the total bot processing duration. This is how long the bot waits before timing out if the contact stops responding.
The three outcomes
Every AI appointment conversation ends one of three ways:
- The bot books the appointment.
- The bot times out because the lead stopped replying.
- The booking fails for another reason (no suitable slot, the bot couldn't parse the request, or a technical issue).
Branching on the outcome
Appointment booked
Add an If/Else condition for appointment booked = true. On the true branch, send a confirmation SMS or email and any prep instructions for the meeting.
Bot timed out
Add a second condition for timeout. Use this branch to nudge the lead with a manual follow-up or hand off to a human team member.
Booking failed for other reasons
The third branch covers no slots available, parsing failures, and other errors. Configure a fallback action here, such as routing the conversation to a sales rep or to a different AI agent for continued nurture.
