Update Appointment Status Workflow Action in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

The Update Appointment Status action sets an appointment's status (Confirmed, Cancelled, Showed, No-show, Invalid, or New). It targets the appointment that triggered the workflow, or the contact's most recent appointment if the trigger was something else.

The Update Appointment Status action changes the status of a contact's appointment from inside a workflow. If the workflow was triggered by an appointment event such as Appointment or Customer Book Appointment, the action targets that specific appointment. Otherwise it updates the contact's most recent appointment.

How to configure

  • Action Name: a label that describes the change (e.g., "Mark Showed").
  • Status: pick one of New, Confirmed, Cancelled, Showed, No-show, or Invalid.

Field reference

FieldDescriptionRequired
StatusThe new status to apply: New, Confirmed, Cancelled, Showed, No-show, or Invalid.Yes

Example

If a contact replies "cancel" to a reminder SMS, send them down a branch that runs Update Appointment Status set to Cancelled. If they show up and the front desk taps a button to fire the workflow, run the action with status Showed so reporting and downstream automations stay accurate.

Notes

  • Trigger the workflow with an appointment event whenever you need to be sure you are updating that exact appointment instead of the most recent one.
  • Use this action to drive follow-up automations: review requests after Showed, win-back sequences after No-show or Cancelled.
  • Double-check the selected status before saving. Wrong values cascade into bad reports and bad downstream sequences.

Frequently Asked Questions

Which appointment does this action update?
If the workflow was triggered by an appointment event, it updates that appointment. Otherwise it updates the contact's most recent appointment.
What status values are available?
New, Confirmed, Cancelled, Showed, No-show, and Invalid.
Can I trigger different follow-ups based on the new status?
Yes. Pair this action with status-based triggers or filters to route contacts into review requests, win-back, or rebooking flows.
What happens if the contact has no appointments?
The action has nothing to update and the workflow continues to the next step. Use a filter or branch to handle that case explicitly.
