How to Share Documents via Client Portal and CRM in Sparkforge
Open Contacts > [contact] > Documents in the CRM to share files with the client portal. Contacts upload files back through the portal; received files appear under Documents > Received > Client Portal.
Sparkforge's Client Portal lets contacts receive shared documents and upload files back to your CRM. Everything stays in the contact record, so you don't need a separate file-sharing tool.
Before you start
Document sharing only works for contacts who are Client Portal users. Documents and Contracts can't currently be toggled shared/unshared after creation in some flows — sharing is set at the document level.
Why use it
- Centralized files: documents and uploads live with the contact record.
- Direct collaboration: file exchange between you and the client without third-party tools.
- Access control: grant or revoke client access with a toggle.
Open the Documents tab
In the CRM, go to Contacts, select the contact, and click Documents in the left menu.
Share a new document from the CRM
- In the Documents tab, click + Add.
- Toggle Share to Client Portal ON if you want the document available immediately. You can toggle it on later instead.
- Save the document.
Shared documents display a Shared chip indicating they're visible in the client portal.
Share an existing document
- Click the three dots next to the document.
- Select Share to Client Portal > Share.
- Use the Share toggle to grant (On) or revoke (Off) access.
Shared files appear instantly in the contact's portal under Shared Documents.
Client uploads to the CRM
In the Client Portal, the contact clicks Upload Document. After upload, the file appears in the CRM under Documents > Received > Client Portal.
Preview, download, delete
- Preview: click Preview from either the CRM or the Client Portal to view files in-browser.
- Contact deletes: contacts click the trash icon in the Client Portal. The file is also removed from the CRM's received files.
- CRM user revokes: toggle Share to Off, or click delete in CRM Documents to remove permanently.
