How to Send Recurring Invoices from a Workflow in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

In a workflow, add the Send Recurring Invoice action to bill memberships, retainers, and subscriptions on a schedule with optional Auto-Pay through Stripe.

The Send Recurring Invoice action runs scheduled billing inside a workflow. Memberships, agency retainers, and subscriptions go out on cadence with optional Auto-Pay, and billing events stay synced with the rest of your tags, emails, and follow-ups.

Prerequisites

  • Invoice template — create at least one in Payments > Invoices.
  • Payment gateway — connect Stripe (or another supported gateway) in Payments > Integrations.

Action settings, end to end

Start Date

  • Action Date — the schedule starts when the contact hits the workflow trigger (tag added, contact changed, and so on).
  • Fixed Date — the schedule starts on a specific calendar day.

Stop

  • Never — runs until manually stopped.
  • After X Occurrences — ends after the number of invoices you set (good for installment plans).

Frequency

  • Daily — every N days.
  • Weekly — on a chosen weekday or the action date.
  • Monthly — by date or by week (for example, 2nd Wednesday).
  • Yearly — pick a month and day, every N years.

Auto-Pay

  • Currently supported on Stripe-connected subaccounts.
  • Card details only save after the first manual payment succeeds.

Set up the action

  1. From your Sparkforge dashboard, go to Automation > Workflows.
  2. Click + Create Workflow.
  3. Click + Add Trigger and pick a trigger such as Contract Signed, Form Submitted, or Opportunity Status Changed. Save the trigger.
  4. Click the + below the trigger, search for Invoice, and select Send Recurring Invoice under Payments.
  5. Name the action so it is easy to find later (for example, "Monthly Retainer - Silver").
  6. Pick the From User, an Invoice Template, and toggle Mode to Test for trial runs or Live for real billing.
  7. Set Start Date, Stop, Frequency, and Days in Advance.
  8. Toggle Enable Auto-Payment on if you want the card stored after the first payment and charged automatically going forward.
  9. Choose the delivery channel: Email, Text, or Email and Text.
  10. Click Save Action.
  11. Save the workflow, run Test Workflow, then toggle to Publish.

Frequently Asked Questions

Do I need a payment gateway?
Yes. Connect Stripe or another supported gateway before you turn on Auto-Pay or send invoices.
What happens if Auto-Pay fails?
The invoice stays unpaid. Build a separate workflow with a Payment Failed trigger to retry, notify the customer, or pause service.
Will recurring invoices show in the contact's history?
Yes. Every generated invoice is logged on the contact record.
Does flipping Live/Test affect schedules already running?
No. The toggle only controls invoices created after the change.
Can I send different templates based on contact data?
Yes. Use conditional branches and add multiple Send Recurring Invoice actions, each with its own template.
