How Round Robin Calendars Distribute Appointments in Sparkforge
Sparkforge Round Robin calendars assign bookings two ways: Optimize for Availability books the next available teammate, and Optimize for Equal Distribution rotates bookings so no one is more than three meetings ahead per month.
Round Robin calendars hand bookings to your team automatically. Sparkforge offers two distribution modes — pick the one that matches how you actually want appointments split.
Optimize for Availability
Books the appointment with whoever is free at the requested time. If multiple teammates are open, the higher-priority member wins.
- Best for support, urgent service, and any team where speed-to-customer matters more than even workload.
- Fills slots quickly and shortens customer wait times.
- Priority levels (High, Medium, Low) act as the tiebreaker when several members are available.
Optimize for Equal Distribution
Balances bookings across the team over a rolling 30-day window. The system picks whoever has the fewest meetings in the current month.
- Best for sales teams, consultations, or any pod where workload fairness matters.
- Only applies when the booker selects "Any Available" — picking a specific teammate always overrides distribution.
- No teammate can be more than three meetings ahead of another. Once they are, their availability is hidden until the rest catch up.
Worked example
John has 3 meetings, Hannah has 0. John's availability is hidden until Hannah books at least one. Hannah books one (3-1) — John reappears. John books another (4-1) — John is hidden again.
What resets the count
- Adding or removing a team member resets every count.
- Switching modes (Equal Distribution to Availability and back) resets every count.
How a single booking gets routed
- System checks each teammate's monthly meeting count.
- Teammate with the fewest meetings is selected.
- If multiple are tied, the calendar's predefined order breaks the tie.
- If the picked teammate is not actually free at that time, the system tries the next eligible member.
Team member priority levels
| Priority | How it's used |
|---|---|
| High | Selected first if available. |
| Medium | Selected if no high-priority member is available. |
| Low | Selected only if no high or medium-priority member is available. |
Meeting location options
| Option | When to use |
|---|---|
| Zoom | Default for video meetings. |
| Google Meet | If your team runs on Google Workspace. |
| Microsoft Teams | If your team runs on Microsoft 365. |
| Phone | Voice-only meetings. |
| Full address | In-person meetings at a fixed location. |
| Ask the booker | Let the customer pick the location. |
Practical tip for fair distribution
Turn off "Allow Staff Selection." If bookers can pick a specific teammate, distribution math no longer applies and rotation breaks down. Equal Distribution also assumes overlapping availability — if one teammate works a third the hours of another, math will favor the part-timer's calendar.
